ProCareer Ltd. is recruiting on behalf of its client - an international bunker trader and physical supplier of marine fuel. With over 20 years of presence in the shipping and energy sectors, the company has built a strong reputation through long-term partnerships, commercial expertise, and a pragmatic approach to business.
We are currently looking for a highly organized, proactive and detail-oriented Corporate Operations Coordinator to work closely with our CFO in Limassol, Cyprus. This is a varied administrative and corporate operations role for someone who enjoys bringing structure to complex processes and keeping things running smoothly across multiple jurisdictions.
What you will be doing:
- Act as the central point of coordination for corporate, administrative and operational matters across the Group's international entities.
- Liaise with external partners, including fiduciaries, accountants, lawyers, banks and other service providers.
- Manage corporate documentation, maintain corporate records and registers, coordinate board documentation and KYC requests.
- Support employee administration, including onboarding, work permits, visa processes and immigration documentation.
- Coordinate office administration, contracts, subscriptions and other operational matters across international locations.
- Assist with company incorporations, corporate projects and a variety of operational initiatives led by the CFO.
- Provide day-to-day administrative support to ensure the smooth running of corporate operations across the Group.
What drives success in this role:
- At least 3 years of experience in fiduciary, corporate administration or company secretarial services, office management, executive support, operations, legal or immigration administration, KYC, or a similar role.
- Exceptional organizational skills and a genuine enjoyment of creating structure and bringing order to complexity.
- Outstanding attention to detail and a commitment to accuracy.
- The ability to coordinate multiple projects and priorities simultaneously while meeting deadlines.
- Confidence in communicating and building relationships with external stakeholders across different countries and jurisdictions.
- A proactive, hands-on mindset with the ability to work independently, solve problems and take ownership.
- Excellent written and spoken English, with Russian being a strong advantage.
- Confidence using modern digital tools and AI to improve productivity and streamline administrative work.
- Experience in corporate services, fiduciary or company secretarial services, legal or immigration administration, KYC, or executive support within a professional services environment would be an advantage, but is not essential.
- A willingness to learn, adapt and take on a broad variety of responsibilities in a fast-paced international environment.
