Job Title: Financial Assistance Advisor
Responsibilities
This is an exciting opportunity for an experienced student financial assistance advisor. Financial Assistance cover all types of financial support given to students; it covers need-based (example: financial aid), merit-based grants (example: scholarships) and other externally funded support (example: external donations or loans). Performs a variety of duties associated with reviewing and assessing financial assistance applications, awards financial assistance in compliance with the university policies, implements financial assistance plans, forecast financial assistance expenditures, prepares statistical reports and applies strict confidentiality. May design, coordinate and conduct financial assistance workshops, information sessions and random home visits. Delivers quality customer service to students and parents. During periods of lower financial assistance workload, also undertakes student recruitment and admissions duties on behalf of the University, including representing AUBMed at recruitment events and guiding prospective students through the admissions process from inquiry to enrollment. Works under the supervision of the Head of Admissions and Financial Aid.
Main responsibilities include:
- Participates in reviewing financial assistances policies and procedures.
- Assists in setting financial aid policies and procedures to assess the financial needs of students.
- Assists in long-term planning to forecast financial aid expenditures.
- Setup the requirements and procedures for the students’ applications related to financial assistance.
- Prepares financial assistance publications, and ensures that the information provided on the publication, website and applications are always updated.
- Answers questions, inquiries, or requests from students and parents via email/messaging, phone, or in person regarding admissions, financial assistance programs and eligibility.
- Maintains a close working relationship with university unites such as Admissions, Registrar, Advancement, Comptroller, IT to resolve financial assistance issues.
- Identifies problems and their causes, related to financial assistance and suggests solutions
- Plans work schedules and follows-up on tasks to be completed for various projects in the office.
- Assists in the preparation of information used for promotion of financial assistance at seminars, fairs, orientation sessions, meetings etc.
- Develops international recruitment plans, representing the University at school visits, fairs, expos, presentations, and virtual events to attract prospective students.
- Builds relationships with prospective students, parents, school counselors, providing guidance on admissions requirements, and financial assistance opportunities.
- Reviews admissions applications and supporting documents for completeness and eligibility, and provides recommendations on applicants' files as needed.
- Follows up on prospective student inquiries and applications through the CRM/SIS system, tracking leads from initial inquiry through application, admission, and enrollment.
- Keeps abreast of all rules, regulations and guidelines governing various types of financial assistance.
- Advises students and parents about financial assistance options and provide them with information regarding the requirements and procedures.
- Verifies need based financial aid applications. Includes screening applicants, counseling and helping students by verifying information and guiding them in accordance with Financial Aid Office policies and procedures.
- Ensures that all student files are complete and accurate. Requests additional information for incomplete applications. Verifies and validates all documents.
- Analyzes financial data on financial assistance applications to determine eligibility.
- Runs queries, assists with research, creates and maintains statistical/narrative reports & spreadsheets.
- Acquires, enters, edits, and updates student data on various systems.
- Performs data analytics on system-generated reports.
- Verifies data such as grades, enrollment status, and award status to ensure continued compliance and eligibility of students receiving financial assistance under institutional guidelines.
- Notifies students of changes in eligibility of awards, and suggests alternatives.
- Selects and matches students according to the restrictions of the donors and prepares lists of nominated candidates to the Office of Advancement.
- Assesses and evaluates financial needs of students. Includes setting up appointments and conducting interviews with applicants and parents in accordance with established standards and guidance of superiors.
- Implements financial aid plans as documented. Includes preparing lists of applicants, entering financial aid and Office of Advancement allocations on SIS, rolling financial aid application on SIS from term to term, updating & opening financial aid application for each term
- Any other relevant duty which may arise in the context of the specific role, as per Management’s instructions.
- Creates or updates internal documentation of the Financial Aid Office
- Maintain the highest levels of ethical conduct, integrity and honesty in all actions and interactions.
Profile of the ideal candidate
- University degree in Business Administration, Accounting, Computer Science, or a related field
- At least 3 years of solid work experience in Accounting, Sales Management, Bank Loans, Auditing, Business Analytics, or preferably in a Financial Aid
- Knowledge of bank loan procedures or Title IV aid programs including the U.S. Direct Loans program is a plus
- Prior experience in student recruitment, admissions, or enrollment management is a strong plus
- Confident public speaker, comfortable representing the University at fairs, school visits, and information sessions in front of large audiences
- Professional exposure to the Education / Academic industry will be considered an advantage
- Customer Service mindset to deliver quality service to a diverse population
- Self-starter, fast learner with strong communication and interpersonal skills
- Very good multitasking skills, with high level of attention to detail
- Discrete, with an understanding of the importance of handling sensitive 3rd party information
- Tech savvy – Microsoft Office, database operations, SIS and CRM systems, social media platforms
- Able and willing to travel internationally
- Very good knowledge of English. Knowledge of Greek, Arabic or French will be considered a plus.
