IVF Patient & Donor Coordinator
Aphrodite Egg Bank & Pedieos IVF Center
Location: Nicosia | Type: Full-time | Reports To: Managing Director
About Us
Aphrodite Egg Bank and Pedieos IVF Center provide compassionate, high-quality care to individuals and couples on their fertility journey, and support partner clinics, patients, and donors through every stage of the process, from donor screening and patient prep to egg retrievals and full IVF cycles. We're growing, and we're looking for someone who wants to grow with us.
Role Overview
This role is less about clinical process and more about relationships, momentum, and results. You'll be the main point of contact for our partner clinics and the driving force behind the patient and donor experience — but we don't want someone who simply executes the playbook we hand them. We want someone who builds a better one.
No medical or biology background is required. What matters is that you're commercially minded, energetic, and genuinely motivated by growing a business: spotting opportunities, closing gaps, and turning good relationships into bigger ones. You'll have real ownership over how partner markets perform, and the more initiative you take, the more the role — and your influence — will expand.
Key Responsibilities
Business Growth & Partner Development
• Own the relationship with key partner clinics end to end — not just servicing them, but actively growing order volume and deepening the partnership.
• Proactively identify new business opportunities, underperforming accounts, and untapped markets, and bring forward ideas to pursue them.
• Track KPIs (order volume, patient satisfaction, donor engagement) across markets and use the data to make the case for specific improvements or investments.
• Contribute to sales and marketing strategy — you're expected to have opinions on what will move the needle, not just report the numbers.
Patient & Donor Experience
• Own the full patient and donor journey, from first inquiry to post-treatment follow-up, ensuring it feels seamless, responsive, and genuinely cared-for.
• Keep patients and donors informed and reassured at every step, with a warm, consultative style rather than a purely administrative one.
• Handle sensitive situations with empathy and professionalism, and know when to escalate versus resolve directly.
Order, Sample & Logistics Coordination
• Manage and track donor and patient orders, ensuring accuracy and on-time delivery.
• Coordinate with internal teams and external labs on genetic testing logistics.
• Troubleshoot issues with sample handling, delivery, or storage before they become problems for the clinic or patient.
Continuous Improvement
• Flag operational inefficiencies and recurring friction points, and push solutions rather than waiting to be asked.
• Work cross-functionally with sales, marketing, clinical, and operations teams to align on goals and promotional activity.
What We're Looking For
We care more about mindset than credentials. The ideal person:
• Is proactive by default — treats this like their own book of business, not a checklist.
• Is energetic, personable, and comfortable building relationships and influencing people.
• Has business or sales instincts — background in sales, account management, hospitality, marketing, or customer success is just as relevant as healthcare experience.
• Wants growth — for the business and for themselves. This role has real room to expand in scope and responsibility for someone who performs.
• Can hold empathy and commercial drive at the same time — this is a sensitive industry, and results still matter.
Qualifications
Experience
• 2+ years in a client-facing, sales, account management, or coordination role. Fertility or healthcare experience is a plus, not a requirement.
• A track record of managing relationships or accounts and driving measurable results.
Education
• Bachelor's degree in Business, Marketing, Communications, or a related field preferred. Life Sciences or healthcare degrees are welcome but not necessary — we can teach the clinical context.
Skills
• Strong organizational and time-management skills; comfortable juggling multiple accounts and deadlines.
• Excellent written and verbal communication, with a persuasive, consultative edge.
• Proactive problem-solver who spots issues and opportunities before being told.
• Comfortable with CRM systems, data analysis, and order/sample management tools.
• High attention to detail and sound judgment with confidential information.
Why Work With Us?
• Competitive salary, based on experience.
• A role with real ownership — you shape how partner markets grow, not just how orders get processed.
• The opportunity to make a meaningful impact in the lives of individuals and families navigating fertility challenges.
• A supportive, dynamic team, with career growth tied to the results you drive.
