Personal Assistant to the Director

Position Summary
We are seeking a highly organised, discreet, and proactive Personal Assistant to the Director to provide high-level administrative and coordination support within our accounting, audit, tax, and advisory services firm.
The position is ideal for a person who can help protect the Director’s time, ensure that client requests are not missed, and improve communication between management, staff, clients, and external associates.
Main Duties
· Manage the Director’s calendar, meetings, appointments, reminders, and daily schedule.
· Monitor and organise the Director’s emails according to agreed procedures, categories, and priorities.
· Prepare draft email replies, letters, proposals, reports, presentations, and other documents for review.
· Take notes from client calls, internal meetings, and management instructions, and convert them into clear action points.
· Log client requests, new enquiries, and management instructions in the firm’s task management system.
· Follow up with managers, staff, clients, and external associates on pending actions and deadlines.
· Coordinate communication between the Director, managers, staff, clients, and external parties.
· Assist with client relationship management, including proposal follow-ups, meeting arrangements, and pending client requests.
· Maintain a new client and lead follow-up list, ensuring that potential engagements are followed up on time.
· Prepare agendas, minutes, action lists, and follow-up reminders for management meetings.
· Support newsletter updates, website publications, social media coordination, and client communication material under management guidance.
· Coordinate training administration, seminar searches, training records, and ANAD/subsidy applications where applicable.
· Assist with HR administration, including recruitment coordination, onboarding, employee records, employee manuals, and internal communication.
· Assist the Director with internal projects, business development initiatives, AI/automation projects, and office improvement procedures.
· Maintain strict confidentiality of client, employee, management, and firm information.
Qualifications Required
The ideal candidate should have:
- Diploma or degree in Secretarial Studies, Office Administration, Business Administration, PA Studies, Management, or another relevant field.
- Proven experience as a Personal Assistant, Executive Assistant, Senior Administrator, or similar role.
- Excellent command of the Greek and English languages, both written and verbal.
- Excellent knowledge of Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Strong email drafting, writing, and communication skills.
- Excellent organisational and time-management skills.
- Ability to prioritise tasks and work under pressure.
- Strong attention to detail and problem-solving ability.
- Positive attitude, flexibility, maturity, and proactive approach.
- Familiarity with the accounting, audit, tax, legal, corporate, or professional services industry will be considered an advantage.

Working hours: 08:00-17:00 daily and 08:00-14:00 on Fridays
