About the role
The Senior Administration & Operations Associate is responsible for ensuring the smooth day-to-day operation of the Cyprus office while supporting the Group’s administrative, operational, people administration, and executive support activities.
This is a hands-on execution role requiring exceptional organizational skills, attention to detail, and the ability to manage multiple priorities simultaneously. The successful candidate will oversee office administration, facilities coordination, people administration, CRM administration support, invoicing administration, vendor management, and executive support activities, ensuring the office operates efficiently and professionally at all times.
The role acts as the primary owner of the Cyprus office’s administrative operations and works closely with the Head of Administration & People, Chief of Staff, Finance, IT, Corporate Secretariat, and the wider leadership team across the Group.
Key Responsibilities
Office Administration & Operations
Manage the day-to-day administrative operations of the Cyprus office, ensuring a professional, organized, and efficient working environment.
Act as the primary owner of Cyprus office administration and support activities.
Coordinate office maintenance, cleaning, repairs, and facilities-related matters.
Manage meeting rooms, office calendars, visitor arrangements, and workspace bookings.
Ensure meeting rooms are prepared for internal meetings, client meetings, workshops, and executive sessions.
Liaise with building management, contractors, and external service providers.
Monitor office subscriptions, service agreements, maintenance schedules, and renewals.
Maintain office records, administrative trackers, and operational documentation.
Support the implementation of Group administrative policies, procedures, and operational standards within the Cyprus office.
Administration & Executive Support
Provide day-to-day administrative support across the business.
Provide administrative support to members of the Executive Team as required.
Coordinate document preparation, printing, scanning, filing, and record management.
Support signature coordination and physical document handling where required.
Support the preparation and coordination of meetings, presentations, reports, and business documentation.
Coordinate travel arrangements, meeting logistics, and scheduling when required.
Assist with administrative follow-up on actions arising from meetings and ongoing workstreams.
Support ad-hoc operational and administrative projects assigned by the Head of Administration & People, Chief of Staff, or leadership team.
Act as a central administrative point of contact between the Cyprus office and other Group offices when required.
People Administration & HR Support
Coordinate employee onboarding and offboarding administration.
Maintain employee records, personnel files, and HR documentation in accordance with internal policies and applicable requirements.
Coordinate employment contracts, amendments, confirmations, and employee-related documentation.
Maintain leave records, attendance records, and employee administration trackers.
Support employee benefits administration, including medical insurance and related documentation.
Coordinate interview scheduling, candidate communications, and onboarding logistics.
Maintain people’s administration records and employee databases.
Support the Head of Administration & People with administrative HR tasks and documentation as required.
Note: This role is responsible for HR administration and employee records management and does not include HR strategy, recruitment, performance management, compensation, payroll, or employee relations.
CRM Administration Support
Support the maintenance and administration of CRM records.
Assist with updating client, prospect, and opportunity information within the CRM.
Support CRM data quality reviews and record maintenance activities.
Generate standard CRM reports as requested by management.
Coordinate with internal stakeholders to ensure commercial information is updated accurately and on a timely basis.
Support CRM-related administrative processes and tracking activities.
Note: Ownership, configuration, governance, reporting design, and technical administration of the CRM remain with the relevant Group functions.
Invoicing & Administrative Support
Prepare and issue client invoices in accordance with internal procedures.
Maintain invoicing records and supporting documentation.
Coordinate with the Finance team regarding invoice status and payment tracking.
Maintain administrative trackers and records relating to invoicing activities.
- Support operational reporting and administrative record keeping as required.
Note: This role supports invoicing administration and does not own accounting, financial reporting, collections, treasury, or finance operations.
Vendors, Procurement & Office Logistics
Manage office supplies, pantry inventory, and office equipment.
Coordinate relationships with local suppliers, vendors, and service providers.
Manage courier services and office logistics.
Monitor office-related expenditure and submit supporting information to Finance.
Maintain vendor records, procurement trackers, and maintenance schedules.
Support the sourcing and administration of office-related suppliers and service providers.
Qualifications & Experience
Bachelor’s degree in business administration, Management, Operations, Human Resources, or a related discipline preferred.
Minimum 4–6 years of experience in administration, office operations, executive support, people administration, or a similar role.
Experience managing office facilities, vendors, and administrative operations.
Experience supporting employee administration, onboarding, employee records, and HR documentation.
Experience working with CRM systems such as Zoho CRM, HubSpot, Salesforce, Microsoft Dynamics, and similar.
Experience supporting invoicing administration and business administration activities.
Excellent organizational and time management skills.
Strong written and verbal communication skills in English.
Proficiency in Microsoft Office and cloud-based collaboration tools.
Ability to work independently while managing multiple priorities.
High level of professionalism, discretion, and attention to detail.
Experience within a professional service, consulting, financial services, or regulated environment would be considered an advantage.
