Earl Cyprus is a member of a reputable International Group with offices in Switzerland, the Netherlands and Cyprus. We are currently seeking to recruit a full-time Senior Corporate Administrator to join our fast-growing team in Nicosia. More information can be found on our website.
The Position
The successful applicant will be responsible for providing corporate administration services to a portfolio of clients from a range of industry sectors and will be a member of a dynamic and diverse cross-border team, consisted mainly of young professionals.
Key Responsibilities:
- Client Relationship Management
- Daily communication with clients and timely execution of corporate matters.
- Acting as the primary point of contact for designated clients and maintaining strong professional relationships.
- Proactively identifying client needs and ensuring high-quality service delivery.
- Company Administration
- Handling the incorporation of Cyprus companies and establishment of Trusts.
- Managing changes in company or Trust structures (e.g. directors, shareholders, registered office, secretary, beneficiaries, trustees etc).
- Preparing, reviewing, and executing legal and corporate documents, including: Agreements, Deeds, Powers of Attorney, resolutions, minutes, incumbency certificates etc.
- Maintaining and updating statutory registers and company records in accordance with legal requirements.
- Knowledge and hands-on execution of share allotments, share transfers and increases/reductions of share capital. Experience in reorganizations (mergers, conversions, redomiciliations, etc.) will be considered an advantage.
- Preparing and filing applications, forms, and returns with the Registrar of Companies and other authorities.
- Regulatory & Compliance
- Handling client due diligence and KYC onboarding in line with AML legislation and internal compliance policies.
- Reviewing, maintaining, and updating companies’ KYC files on an ongoing basis.
- Ensuring FATCA/CRS classification of entities, reviewing and completing relevant bank and regulatory forms.
- Liaising with external regulators, auditors, lawyers, tax advisors, and other stakeholders.
- Assisting with the preparation of internal compliance reports when required.
- Banking & Transactions
- Preparing and/or reviewing bank account opening documentation and liaising with banks for account maintenance.
- Overseeing payment instructions and liaising with clients on banking matters.
- Team & Internal Responsibilities
- Supervising, mentoring, and providing guidance to junior team members.
- Assisting management in reviewing procedures and contributing to the continuous improvement of internal policies and workflows.
- Participating in internal meetings, training, and knowledge-sharing initiatives.
- Supporting the preparation of client proposals, engagement letters, and fee quotations where required.
- General
- Ensuring that all client and company documentation is filed, organized, and stored securely in line with internal systems and GDPR requirements.
- Staying updated on changes in Cyprus legal and regulatory frameworks relevant to the role.
- Carrying out any other ad hoc duties required to support clients and the firm’s operations.
Requirements
- University degree in a business related discipline
- Minimum 4 years experience in a similar position
- Excellent written and verbal communication skills in English and Greek
- Solid interpersonal skills to build effective relationships with clients and colleagues
- Detail-oriented and strong organizational skills
- Proven ability to manage time effectively, handle multiple priorities, work under pressure, and meet tight deadlines
- Good working knowledge of AML legislation and its practical application in KYC reviews and transaction monitoring.
- Solid computer literacy and excellent command of Microsoft Office applications; familiarity with corporate services software (e.g. eBos) will be considered an advantage
- Knowledge and/or prior experience with Trust formation and management; STEP qualification will be considered an advantage.
Law degree or legal experience will be considered an advantage
