Crewing Officer

Main Responsibilities:
- Planning and Movements- Plan and ensure successful conduct of all movements is the primary duties of the Crewing Officer , taking into consideration the regulations in each country / port state / flag state as applicable, airlines, client’s requirements, cost effectiveness, other restrictions, etc.
- Training & Development – Guide, develop and train the Crewing Assistant to the best of their abilities in order to be able to efficiently replace the Crewing Officer in case of need.
- Documentation & Communication- Communicate and cooperate with local agents and guards in order to ensure smooth operations. Also, prepare and submit all necessary documents
required, to ensure the safe sign on / off and change of the guards. - Manpower & Availability – Contact and keep in touch with each guard after deployment in order to determine his availability and additional contract(s).
- SOP / Trainings / Certifications – Schedule SOP and Refreshment trainings as required in collaboration with the Training Department, to keep guards updated in certificates and training.
- ISO / MLC / GDPR – Ensure that all procedures, record keeping, and filing are carried out as per the company Policies and Procedures, in compliance with ILO, ISO, GDPR requirements, as well as with applicable laws and regulations.
- Insurance Claims – Ensure that all procedures regarding the Insurance claims by the guards are being followed as well as update and maintain Insurance records and follow up until claims are closed.
- Operations / Training invoices – Ensure that the payment along with deductions or refunds is processed under the correct entity.
- Administration / Record Keeping – Ensure that all administrative tasks related to payroll, expenses, deduction and refunds have been properly handled by the Crewing Assistant.
- Contracts – Prepare, review and track security guard’s employment agreements before deployment. Notify them of repatriation dates and review early termination requested, providing feedback to HOD.
Key Requirements:
- Ability to deal with people of different nationalities in a professional, human oriented and tactful manner.
- Ability to plan, manage, organize, coordinate and accomplish assigned tasks in a timely, efficient and professional manner.
- Very good written ability and verbal communication in English language.
- Strong report writing and record keeping abilities.
- Abilities to multi-tasking and working efficiently in charge of a team, inspiring, assigning tasks and coordinating, as required.
- Proactive, problem-solving, diligent, well organized and take initiatives.
- Being available 24/7 for any urgent request from the HOD or the Department Supervisors.
Computer literate.
Key Skills:
- Ability to organize, coordinate and assign / monitor tasks, in an efficient way.
- Ability to effectively work in a team, as well as independently when required.
- Ability to deal with people of different nationalities in a professional and tactful manner.
- Ability to properly communicate and cooperate with a variety of personalities and individuals.
- Analytical, well organized and swift in processing. Human Oriented.
- Diligent and attentive to details.
- Excellent knowledge of PANGEA and company HR software.
- Excellent knowledge of HR Department Protocols.
- Excellent knowledge and monitoring of laws and regulations, applicable in countries of operation.
Qualifications:
- Academic diploma or equivalent work experience.
- Relevant Training and successful previous work experience as HR Operator.
