We are looking to hire:
Position: Documentation Administration Officer
Job specification
Qualifications
- A degree or diploma in business administration, maritime studies, or a related field is advantageous but not mandatory. Proficiency in Microsoft Office — particularly Excel — is expected. Fluency in English (written and spoken) is essential, as correspondence with seafarers and agents is a core part of the role.
No prior experience in maritime or crewing is required. You will receive full training on our systems, workflows, and regulatory framework. That said, if you have previous exposure to crew management, document control, or maritime administration, we would certainly value that background.

Responsibilities
- Maintain and update the company’s crewing management system with accurate and current seafarer documentation
- Perform precise data entry for crew records, certificates, and flag state documentation
- Liaise with seafarers and manning agents on all document-related queries and requirements
- Monitor document validity and flag upcoming expirations in a timely manner
- Produce accurate crew lists, document status reports, and management summaries
- Support the wider crewing team with administrative tasks as the department’s needs evolve
