The HR Assistant provides efficient and professional administrative support to the Human Resources function, helping ensure the smooth day-to-day operation of HR processes across the school.
The role supports recruitment, onboarding, employee records management, safeguarding compliance, HR systems administration, payroll coordination, and general HR administration. The HR Assistant will help maintain accurate employee records, support the effective use of HR systems, and assist in delivering a positive employee experience across the school community.
The successful candidate will be highly organised, detail-oriented, approachable, and able to manage confidential information with professionalism and discretion.

🔍 Key Responsibilities
As outlined below, your responsibilities will include:
HR Administration
· Provide first-line administrative support to staff and managers on routine HR queries.
· Maintain accurate and confidential employee records within the HRIS (Hailey HR) and digital filing systems.
· Prepare HR documentation including contracts, letters, amendments, and employment confirmations.
· Support onboarding and offboarding processes, ensuring all required documentation is completed.
· Assist with probation monitoring and employee lifecycle administration.
· Support absence management administration and maintain accurate records.
· Monitor HR shared inboxes and respond to queries in a timely and professional manner.
· Ensure all HR documentation is stored securely and in line with GDPR requirements.
Recruitment & Safer Recruitment
· Support the recruitment process by posting adverts, scheduling interviews, communicating with candidates, and preparing offer documentation.
· Coordinate pre-employment checks including references, right to work checks, qualifications, criminal record checks, and safeguarding documentation.
· Maintain accurate recruitment records and ensure recruitment files are complete and compliant.
· Assist with onboarding new employees and ensuring all mandatory documentation and training requirements are completed.
· Support the maintenance of the Single Central Record (SCR) and safeguarding compliance records.
HR Systems & Data Support
· Input and update employee information accurately within HR systems.
· Assist with maintaining accurate staff records and organisational information.
· Support regular HR data checks and help identify missing or inconsistent information.
· Assist with the organisation and digitisation of HR files and records.
· Support the HR team with basic HR reporting and staff lists as required.
· Help maintain HR templates, forms, and standard documentation.
Payroll & Compliance Support
· Support payroll administration by preparing and communicating employee changes including starters, leavers, absences, and contractual amendments.
· Liaise with Payroll and Finance to ensure employee information is updated accurately and on time.
· Support compliance with GDPR, safeguarding requirements, employment legislation, and school policies.
· Maintain confidentiality of all employee information and HR matters at all times.
Team & School Support
· Work collaboratively with the HR team and other departments to support school operations.
· Build positive working relationships with staff across the school community.
· Provide support for HR projects and cyclical HR activities when required.
· Contribute positively to the culture and wellbeing of the school.
· Maintain a professional, approachable, and customer-focused attitude at all times.
Mental Health & Pastoral
· Support and promote the mental health and wellbeing of staff and children, working closely with the Pastoral Team to ensure appropriate care, safeguarding, and wellbeing initiatives are implemented across the School.
✅ Candidate Profile
Education & Experience Requirements
· Bachelor’s degree in Human Resources, Business Administration, Psychology, Management, or a related field.
· Previous administrative experience, ideally within HR, recruitment, education, or a customer-focused environment.
· Experience maintaining confidential records, supporting recruitment or onboarding processes, and using HR systems or Microsoft Office is desirable.
Skills: Good HR administration, communication, IT, data-entry and organisational skills, with the ability to maintain accurate records and support staff professionally.
Effort: Requires consistent attention to detail, prioritisation, follow-up, and the ability to manage routine HR tasks in a busy school environment.
Responsibility: Supports accurate employee records, recruitment administration, onboarding, payroll updates, safeguarding checks, GDPR compliance, and routine HR processes.
Working Conditions: Office-based role within a school setting, involving regular contact with staff and managers and handling confidential information appropriately.
Other (ANAD Requirements):
· The candidate must be under the age of 30 at the time the employer submits the application to participate in the HRDA/ANAD Graduate Training Scheme.
· Any previous work experience related to the position must not exceed eight months after completion of the candidate’s degree.
· Internships required for registration with a professional body or official professional register in the Republic of Cyprus will not be considered as previous work experience for the purposes of the Scheme.
💼 Remuneration & Benefits
The gross monthly salary for this position is €1,290. The role is intended to follow the provisions of the HRDA/ANAD Graduate Training Scheme, subject to the relevant eligibility criteria, application process, and approval by HRDA/ANAD.
Contract Duration: 8 months
Start Date: As soon as possible
