Operations Coordinator
Role Overview
We are looking for an Operations Coordinator to work side by side with our Head of Operations, organizing the daily work of our maintenance, technical cleaning and gardening teams across the developments we manage.
This is a hands-on coordination role centred on scheduling people and managing work in progress. You will allocate staff and resources, respond to calls and enquiries from team members, resolve day-to-day issues and follow jobs through to completion. You will help keep teams informed, supported and motivated while making sure work is delivered on time and to company standards.
Key Responsibilities
- Plan daily and weekly schedules for maintenance, technical cleaning and gardening staff.
- Allocate jobs according to priorities, staff availability, skills, location and the resources required.
- Take calls and respond to enquiries from staff, providing clear instructions and resolving scheduling or operational issues.
- Monitor progress throughout the day, adjust schedules when priorities change and follow up until work is complete.
- Work closely with the Head of Operations to manage workloads, staff cover and resource needs.
- Maintain positive working relationships with staff, keeping them informed, supported and motivated.
- Liaise with Property Managers, contractors and suppliers about requests, appointments and job updates.
- Raise work orders, obtain quotations and keep accurate records in company systems.
- Monitor materials and consumables, and arrange orders when needed.
- Help ensure company procedures, service standards and Health & Safety requirements are followed.
Essential Skills & Experience
- Previous experience scheduling or coordinating staff in maintenance, facilities, cleaning, landscaping, field services or a similar operational environment.
- Experience handling changing priorities, allocating resources and keeping multiple jobs moving at once.
- Strong organisational and time management skills, with the ability to make practical decisions under pressure.
- Confident communication skills and the ability to deal professionally with staff, colleagues, contractors and suppliers by phone and in writing.
- The ability to build good relationships with teams and address day-to-day concerns constructively.
- Good spoken and written English, computer literacy and experience using Microsoft Office.
- A proactive approach, attention to detail and the ability to follow work through to completion.
Experience with maintenance work orders or property management systems would be an advantage.
