Operations Manager

This varied role requires a serious, independent professional who takes initiative, solves problems, thinks outside the box, and confidently coordinates multiple priorities. The successful candidate will work closely with the CEO and the wider team.
Key Responsibilities
1. Financial and Analytical Duties – Approximately 40%
- Manage the company’s day-to-day accounting and bookkeeping activities.
- Prepare and submit VAT returns accurately and on time.
- Maintain accurate financial records and ensure that the relevant systems are kept up to date.
- Analyse financial and operational data.
- Prepare reports that provide meaningful insights into company and project performance.
- Monitor project hours, costs, and related financial information.
- Review employee timesheets against the hours allocated to each project and identify discrepancies or potential overruns.
2. Planning and Team Coordination – Approximately 20%
- Maintain and update the company’s operational and project-planning systems.
- Monitor the team’s workload, performance, deadlines, and overall progress.
- Coordinate priorities and follow up with team members on outstanding tasks.
- Support resource planning across projects.
- Prepare regular reports and operational updates for the CEO.
- Highlight delays, risks, and areas requiring management attention.
3. Architectural and Project Administration – Approximately 20%
- Prepare and submit application packages and other required documentation through the relevant government or professional portals.
- Monitor submissions and follow up with the relevant authorities by telephone, email, and, when necessary, in person or on-site.
- Follow up with suppliers regarding quotations, material orders, deliveries, and outstanding matters.
- Maintain accurate records of submissions, approvals, correspondence, and deadlines.
- Support the architectural team with project-related administrative requirements.
4. General Administrative Support – Approximately 20%
- Manage telephone calls, correspondence, meetings, and day-to-day office requirements.
- Welcome visitors and assist with meeting arrangements and refreshments.
- Draft professional letters, emails, reports, and other office documentation.
- Organise and maintain company records and files.
- Provide practical administrative support to the CEO and the wider team as required.
The allocation of responsibilities may vary depending on the company’s priorities and workload.
Essential Requirements
- Expert-level accounting and bookkeeping knowledge.
- Expert knowledge of VAT return preparation and submission.
- Fluency in both Greek and English, spoken and written.
- Advanced Microsoft Excel skills.
- Excellent command of Microsoft Office, particularly Word, Outlook, and PowerPoint.
- Strong analytical and reporting abilities.
- Excellent organisational, planning, and time-management skills.
- Ability to work independently, take ownership, and manage competing priorities.
- Strong attention to detail and a high level of accuracy.
- Professional communication and interpersonal skills.
- Ability to handle confidential financial and company information responsibly.
Preferred Experience
- Previous experience in operations management, finance, accounting, or office management.
- Experience within an architectural, construction, engineering, or project-based business.
- Familiarity with project planning, timesheets, cost monitoring, supplier coordination, and submissions to authorities.
- Experience working directly with senior management or a CEO.
