As a member of the Reservations Team, serves as a key resource to the operations, and reports directly to the General Manager. Working in close partnership with all departments, the Reservations Assistant will carry out all necessary duties at the highest standards for meeting &amp; exceeding Guests expectations, outstanding service, and in creating a respectful working environment. Ensuring that guest requests are responded promptly, in performing a variety of activities to ensure a consistently orderly and attractive holiday/living premises within all company’s projects. &nbsp;&nbsp;To successfully fill this role, the Reservations Agent should maintain the attitude, behaviors, skills, and values that follow,&nbsp;but not limited to:<ul style="list-style-type:disc;padding-left:24px;"><li>To undertake front of house duties, including meeting, greeting and attending to the needs of guests, to ensure a superb customer service experience.</li><li>Using PMS, digitalized systems, preparing bills/invoices, and taking payments.</li><li>To assist in dealing with customer complaints in an effective and courteous manner, providing or seeking solutions as quickly as possible.</li><li>To undertake general office duties, including correspondence, emails, messaging, to ensure the smooth running of the Reservations &amp; Guest services</li><li>Host &amp; concierge activities are of high importance on daily basis, ensuring high standards of professionalism, and warm hospitality.&nbsp;</li><li>Provide exceptional services that will only generate positive reviews, excellent comments, and happy Guests, together with operational efficiency according to company procedures, targets, and client satisfaction.</li><li>Manage time, and balance between expected result, normal working hours, normal half an hour break daily, and completion of all pending works before end of shift.</li><li>Ensuring all equipment, materials, and generally all operational resources to be in excellent condition at all times. Unreasonable damages (not resulted from usage) will not be acceptable.</li><li>Be presentable (incl. uniform provided by company), follow operational regulations concerning hygiene, health &amp; safety, respect &amp; carry out work following procedures.</li><li>Operate in an environment of trust, honesty, proper behaviour &amp; manners, timely, and excellent quality to the clients, the superiors, and the colleagues.</li><li>Keeping the best interest for the company`s goals, in the aspects of guest satisfaction, economy – cost balance/savings, and time delivery.</li><li>Liaising with reservations manager &amp; revenue manager to communicate new rate plans and promotions, assisting the sales team in setting rates, room categories, occupancies, targets, and uploading all necessary data to the online systems.&nbsp;</li><li>Reply to emails &amp; messages for all requests with the target of confirming a reservation.&nbsp;</li><li>Use and champion of PMS and all online extranets (e.g. booking.com, Expedia, Webhotelier, channel manager, online platforms, etc.)</li><li>Maintain all records for each reservation following GDPR and company regulations/procedures&nbsp;</li><li>Handling of correspondences, sorting-out communications (written or verbal), and coordinating operational matters in cooperation with the Front Office Team.</li><li>Review reservations booked daily, the daily arrival report and occupancy forecast. Double check payments &amp; policies for each reservation, and provide necessary instructions to FO Team.&nbsp;</li><li>If needed, in later stages of the employment, will be eligible for training new team members&nbsp;</li><li>Make all necessary charges and payments for relative reservations, and update the PMS finances.&nbsp;</li><li>Assist the revenue manager in producing statistic reports, analyzing data, understanding the market and providing feedback on it, contributing in budgeting and revenue targeting for next periods.&nbsp;</li><li>Champion of facilities &amp; apartments features/structures/categories/locations/ for all company projects, in order to manage in the optimum way the reservation requests, and provide the correct product to the correct client.&nbsp;</li><li>Carry out &amp; coordinate when needed, all communications/updates &amp; feedback to all involved departments (front office, Housekeeping, Maintenance) for the best possible service to clients.&nbsp;</li><li>Ensure special handling of repeat guests and very VIP guests, and always keep a record for all of them. Make sure the information is delivered to all departments.</li><li>Follows up on tentative bookings and updates reservation status</li><li>Champion of all the communications with mid &amp; long term clients, apartments viewings, preparing relative information material, contracting, and monitoring the client relationships, for all the company’s projects.
