Main Responsibilities<ul><li>Administration / Instructions Emails - Provide the HR Pack and all administrative information to all consultants, before deployment, and ensure that all documents are received in good order before the assignment. In case of any anomalies / issues, the HR Line Manager should be notified.</li><li>Travelling, Flights &amp; Accommodation - Plan and issue flights, tickets and accommodation, according to the HR Line Manager's instructions.</li><li>Flights Table - Update the flights table on a monthly basis upon receiving the flight invoices.</li><li>Certificates - Check all the mandatory certificates before the assignment. In addition, arrange all medical examinations according to the client's requirements.</li><li>Contracts &amp; Extensions - Prepare the agreement(s) between the company and the consultants.</li><li>Travelling / Instructions Briefing - Arrange a briefing, through email and communicate with the consultants before each assignment, with all necessary info, including travelling, flight tickets, visas, OKTB, etc.</li><li>PANGEA Updates - Keep a fully updated PANGEA profile of each consultants with all relevant files, movements, contracts, etc. and will review it on a daily basis to ensure it is up to date.</li><li>ISO – Compliance – GDPR Requirements - Ensure that all necessary ISO / Compliance files and records related to the HR, are properly and securely filed and kept available, as per company’s, ISO and GDPR requirements.</li><li>Cash Advance - Update the cash advance table of assigned tasks for any cash advance request from consultants and relevant approval as per the procedures. In addition, provide the cash delivery note to the accounting department upon receipt and update the cash advance table accordingly.</li><li>Payment - Calculate, review, and include in Payment table all consultants’ cash advances, bonuses, allowances, refunds and deductions.</li><li>Administration / Record Keeping - Issue and distribute Pay Statements as instructed.</li><li>Handle payments’ administrative and transactional related questions and issues.</li><li>Maintain communication with the consultants and port agents regarding expenses, cash advances etc. in coordination with the OPS Operator responsible.</li><li>Maintain diligent record keeping as required by company’s procedures, ISO and GDPR requirements.</li><li>Operations Invoices - Reconcile accounts, check, update relevant table, record / file ops invoices and process for payment approval by the HOD.
