Assistant Fleet Personnel Officer - Trainee
Job Description
As an Assistant Fleet Personnel Officer - Trainee at BSM, you will be responsible for ensuring the smooth and efficient execution of departmental operations by providing comprehensive administrative support. The role plays a key part in maintaining accurate records, supporting pre-employment processes for seafarers, and facilitating effective coordination between internal teams and external stakeholders such as Flag Authorities.
Key Responsibilities
- Provide administrative support to ensure efficient and well-organized department operations, including tasks such as purchase order creation, risk assessment preparation, briefings organization, and position scale coordination
- Prepare and manage candidate documentation, including tests, CVs, and medical certificates, to support pre-employment screening
- Maintain accurate and up-to-date records in personnel management systems and databases
- Process Flag State endorsement applications accurately and in a timely manner, including certificate verification and document tracking
- Maintain filing systems and records for all Flag applications
- Communicate with Flag Authorities regarding application status and follow up as required
- Administer processes related to drug and alcohol policy compliance
- Update personnel records with applicable collective bargaining agreements and prepare union contribution documentation
- Support departmental meetings by preparing materials and recording minutes when required
- Perform additional administrative duties as assigned to support overall department effectiveness
Qualifications & Experience
- Relevant educational background
- Experience in administrative support roles
- Familiarity with documentation handling and record-keeping processes
