Position Overview
AUB Mediterraneo is seeking to appoint a Dorms Manager who will serve as the primary on-site administrator responsible for the overall management and day-to-day operation of the student residence halls. This position carries full operational responsibility, encompassing student welfare and conduct, residential administration, facilities oversight, and coordination with campus security and student residence supervisors on the night shift.
Work Schedule
Hours: 8:00 AM – 5:00 PM, Monday through Friday (on-site)
After-hours coverage: A 24-hour security guard is on duty at all times, and designated students provide night-time supervision of the dormitories. The Dorms Manager must be reachable for emergencies outside of scheduled hours.
Reports to: Director of Student Affairs (or equivalent, per AUB Mediterraneo organizational structure)
Key Responsibilities
Student Supervision & Conduct
• Supervise all resident students during working hours, ensuring compliance with dormitory rules and university code of conduct.
• Recruit, train, and oversee the student(s) assigned to night-time supervision duties, setting clear expectations and reporting lines.
• Serve as the first point of contact for student concerns, roommate conflicts, disciplinary matters, and welfare checks.
• Maintain accurate records of incidents, complaints, and disciplinary actions, escalating serious matters to Student Affairs as needed.
• Conduct regular room and common-area inspections to ensure health, safety, and cleanliness standards are met.
Operations & Facilities Management
• Manage all daily operations of the dormitories, including check-in/check-out, room assignments, and occupancy records.
• Coordinate maintenance, housekeeping, and repair requests with relevant university departments or vendors.
• Monitor and manage dormitory supplies, equipment, and facility conditions; report and follow up on maintenance issues.
• Ensure compliance with university housing policies, fire safety, health, and safety regulations.
• Oversee key/access card management and maintain accurate logs of room access.
Security & Emergency Coordination
• Coordinate directly with the 24-hour security guard to ensure continuous, seamless coverage and communication of any issues across shifts.
• Establish and maintain clear protocols for night-time student supervisors and the security guard to follow in case of emergencies, disturbances, or policy violations.
• Be available and responsive by phone for emergencies that arise outside of the 8:00 AM–5:00 PM working hours.
• Lead or support emergency response procedures (fire drills, medical emergencies, security incidents) and ensure proper documentation.
Administration
• Maintain dormitory records, occupancy databases, and student files in an organized and confidential manner.
• Prepare regular reports on occupancy, incidents, maintenance status, and student welfare for Student Affairs leadership.
• Manage and track dormitory-related budgets, supplies, and vendor invoices as required.
• Liaise with academic and administrative departments (Student Affairs, Facilities, Security, Health Services) on housing-related matters.
Qualifications
• Bachelor's degree in a relevant field (Education, Social Work, Hospitality, Business Administration, or similar); equivalent experience considered.
• Prior experience in student housing, residence life, hospitality management, or a supervisory role, preferably in a university setting.
• Strong interpersonal and conflict-resolution skills; comfortable supervising and mentoring student staff.
• Ability to work independently and take full ownership of operations with no other manager on-site.
• Strong organizational skills and attention to detail for record-keeping and reporting.
• Availability to respond to emergencies outside of standard working hours.
• Fluency in English required; Arabic and/or Greek a plus.
Working Conditions
• On-site presence required 8:00 AM – 5:00 PM, Monday through Friday.
• Manager for the dormitories; full accountability for resident supervision and facility operations during business hours.
• Works closely with a 24-hour on-site security guard and student night supervisors to ensure round-the-clock coverage.
• May require occasional presence outside standard hours for emergencies or special events.
