Event Coordinator
Job Description
Aelia Wellness Retreat, located in Analiontas, Nicosia, is looking to recruit an Event Coordinator to join our Events Department.
The successful candidate will undertake a dynamic role combining event sales, office and administrative duties, event planning, and practical event coordination.
The Event Coordinator will be responsible for handling event enquiries, assisting with the planning and organization of events, preparing relevant documentation and computer-based administrative work, and coordinating closely with clients and the various departments.
The position also requires weekend availability, with weekend duties primarily focused on the practical, on-site organization and coordination of events, ensuring that each event is delivered smoothly and to a high standard of guest service.
Main Responsibilities
- Handle daily office and administrative duties related to the Events Department.
- Manage event sales enquiries, communicate with potential and existing clients, prepare offers/proposals, and follow up on bookings.
- Assist clients in planning and organizing their events, providing information and guidance according to their requirements.
- Coordinate all details of upcoming events, including schedules, menus, set-ups, guest requirements, and other arrangements.
- Perform regular computer-based work, including email correspondence, preparation of event documents, updating event information, maintaining records, and general administrative tasks.
- Prepare and communicate all necessary event information to the relevant departments.
- Work closely with Culinary, Reception, Housekeeping and other departments to ensure that all event requirements are properly organized in advance.
- Attend pre-event meetings and other operational meetings as required.
- Weekend and public holiday availability is required, with duties primarily focused on the on-site organization, coordination, and smooth execution of events.
- During events, oversee the set-up and execution, coordinate with the operational teams, respond to client and guest requirements, and ensure that the event runs smoothly from beginning to end.
- Maintain a high standard of organization, professionalism, communication, and guest service at all times.
Qualifications
- Hotel/Hospitality degree is considered an asset.
- At least 1–2 years of experience in an Event/Catering, Hospitality, or similar environment.
- Previous experience in sales and/or administrative work will be considered an advantage.
- Excellent command of Greek and English, both written and spoken.
- Computer literate, with good knowledge of standard office applications.
- Strong teamwork, communication, and customer-service skills.
- Excellent organizational, time-management, and multitasking abilities.
- Sales-oriented, proactive, and able to communicate confidently with clients.
- Flexible regarding working hours
- Professional, responsible, and well-presented, with a pleasant personality.
