HR Administrator / Executive Assistant (Dual Role)

This position combines HR administration, office coordination, and executive support responsibilities, making it an ideal opportunity for a dynamic individual who enjoys working with people while managing a variety of administrative and organizational tasks. The successful candidate will work closely with the HR Manager and Managing Director, ensuring the smooth operation of HR processes, executive schedules, communications, and company administration.
Duties & Responsibilities
Human Resources Administration
- Support recruitment activities, including interview scheduling, and candidate communication
- Assist with employee onboarding and induction procedures
- Maintain and update employee records and HR databases
- Prepare HR reports and presentations as required
- Organize and maintain confidential personnel files and company records
- Respond to employee inquiries and provide administrative HR support
- Assist with the implementation and updating of HR policies and procedures
- Coordinate training schedules and employee-related documentation
- Liaise with our external partners regarding Third country nationals and their onboarding
- Undertake additional HR and administrative duties as assigned
Executive Assistance & Administration
- Manage correspondence, emails, phone calls, and daily administrative matters
- Coordinate calendars, meetings, appointments, and travel arrangements
- Liaise with shareholders, directors, associates, lawyers, consultants, and external partners
- Maintain organized filing systems, both physical and digital, ensuring records remain accurate and up to date
- Monitor company agreements, insurance policies, licenses, and renewal deadlines
- Coordinate with legal advisors, insurance companies, government departments, and regulatory authorities
- Support internal communications, company notifications, and general office coordination
- Prepare reports, presentations, meeting agendas, and minutes
- Ensure the smooth day-to-day operation of the executive office
Requirements & Skills
- Diploma or Degree in Human Resources, Business Administration, Secretarial Studies, or a related field
- Minimum 2 years of experience in HR Administration, Executive Assistant, Personal Assistant, Office Administration, or a similar role
- Strong knowledge of Microsoft Office applications (Excel, Word, Outlook, PowerPoint)
- Excellent organizational and time-management skills
- Strong communication and interpersonal abilities
- High level of professionalism, confidentiality, and discretion
- Ability to multitask and prioritize effectively in a fast-paced environment
- Basic knowledge of Cyprus labour legislation and HR practices will be considered an advantage
- Fluent knowledge of Greek and English, both written and spoken
- Additional language skills will be considered an advantage
- Strong attention to detail and problem-solving mindset
