Duties &amp; Responsibilities &amp; Standards of Performance:I. Bookkeeping &amp; Financial Transactions:<ul><li>Prepare and record daily financial transactions (e.g., expenses, bank deposits, transfers, purchases, and shipping charges) in accounting software, ensuring all supporting documents (e.g., invoices, receipts) are attached.</li><li>Organize and file all accounting documents and related attachments systematically.</li><li>Manage accounts payable by tracking contracts and ensuring timely payment issuance.</li><li>Support monthly payroll preparation in compliance with country-specific legal requirements, attaching all necessary approvals and documentation.</li><li>Update and reconcile statements of accounts for third parties and suppliers.</li><li>Maintain accurate records of company assets, including physical status, labeling, costs, and depreciation calculations.</li><li>Handle office petty cash, ensuring approved disbursements and maintaining cash levels per policy.</li><li>Prepare and update the “bank situation” report to reflect current financial status.</li></ul>&nbsp;II. Financial Reporting &amp; Reconciliation:<ul><li>Review, verify, and correct monthly purchase records for accuracy.</li><li>Post transactions between software modules and reconcile monetary accounts (e.g., banks, petty cash, transitory accounts) and supplier accounts.</li><li>Assist in preparing monthly income statements, periodical balance sheets, and reports on cost per item, item turnover, and price variations, with supporting documentation.</li><li>Contribute to financial analysis and provide recommendations to improve financial performance.</li></ul>III. Inventory &amp; Operational Management:<ul><li>Maintain an updated inventory status, conducting continuous physical counts and reporting discrepancies to the Internal Office Manager.</li><li>Place orders with suppliers per company protocol, coordinating with the sales department based on sales targets and offers.</li><li>Coordinate with clearance agents and courier companies to ensure smooth customs clearance and receipt of items to the office.</li><li>Verify incoming items against order descriptions, resolving mismatches with suppliers or customs.</li><li>Enter data for all incoming and outgoing items (except sales orders) into the operating software, categorizing by groupings.</li><li>Separate near-expiry items from far-expiry ones and provide weekly reports on near-expiry goods to the sales team and Internal Office Manager.</li><li>Process returns and track consignment items, ensuring retrieval before near-expiry or sale, with updated reports.</li><li>Support the customer service department by supplying pending orders, coordinating with other offices as per procedures.</li></ul>IV. Compliance &amp; Quality Assurance:<ul><li>Assist in computing and submitting tax-related reports (e.g., income, VAT, social security) accurately and on time.</li><li>Ensure adherence to Medicals International’s Quality Management System (ISO 9001:2008 standards) in all financial and operational activities.</li><li>Participate in financial and operational audits to ensure compliance with internal policies and external regulations.</li><li>Take responsibility for any losses or additions in stock items, ensuring accurate inventory records.</li></ul>V. Administrative &amp; Reporting Duties:<ul><li>Prepare and submit daily reports on financial and operational activities and achievements to the Internal Office Manager.</li><li>Provide recommendations on resource utilization, process improvements, and financial/operational efficiency.</li><li>Assist with additional operational tasks, such as printing banners, brochures, or renewing subscriptions, as assigned.</li><li>Support management with ad-hoc reports, such as item turnover analysis or operational performance summaries.</li></ul>Knowledge:Educational Background:<ul><li>Bachelor of Business Administration, Economics, Public Administration, or equivalent, with an emphasis on accounting, finance, or operations management.</li><li>MBA, specialized financial accreditation, or operations-related certification (e.g., supply chain management) is a plus.</li></ul>Professional Background:<ul><li>0-1 year of experience in accounting, finance, operations, or related fields.</li></ul>
