The Junior Administrative Officer plays a central role in ensuring the smooth daily operation of the organisation, with a primary focus on the coordination and administration of seminars, training programmes, and operational procedures related to HRDA and ERMIS.
The successful candidate will be responsible for managing the full seminars operational work cycle, ensuring efficient coordination between trainers, participants, internal departments, and external stakeholders, while maintaining compliance with HRDA requirements and ERMIS procedures.
Key Responsibilities
• Coordinate and manage the full operational cycle of seminars and training programmes
• Handle seminar scheduling, trainer coordination, venue arrangements, and participant registrations
• Prepare seminar documentation, attendance lists, evaluation forms, and training materials
• Oversee HRDA procedures, submissions, applications, and compliance requirements
• Manage and maintain ERMIS procedures and related administrative processes
• Liaise with trainers, clients, participants, and internal departments regarding seminar logistics
• Monitor seminar timelines, deadlines, and operational deliverables
• Handle communication via email, phone calls, and internal correspondence
• Maintain organised filing systems and accurate records for seminars and HRDA documentation
• Prepare reports, spreadsheets, and operational documentation as required
• Coordinate certificates, attendance confirmations, and participant records
• Support the organisation and coordination of workshops, conferences, and corporate training events
• Ensure smooth execution of both physical and online seminars
• Update and maintain databases, CRM systems, and operational platforms
• Assist in improving administrative and operational procedures
Required Skills & Qualifications
• Bachelor’s degree in Business Administration, Management, Human Resources, or related field
• Knowledge of HRDA procedures and ERMIS system/processes will be considered an advantage
• Strong organisational and time management skills
• Excellent communication and interpersonal abilities
• Ability to multitask and manage competing priorities effectively
• High attention to detail and accuracy
• Proficiency in MS Office applications and administrative systems
• Professionalism, discretion, and problem-solving mindset
• Ability to work independently and collaboratively within a team
• Positive attitude and customer-oriented approach
Salary range: 1200 – 1400k gross
