Key Responsibilities
Office Operations
- Ensure the office is clean, tidy, and well-organized at all times
- Manage office supplies and place orders when needed
- Coordinate with the building management regarding any maintenance or facility issues
Front Desk & Administration
- Meet and greet visitors in a professional manner
- Handle incoming calls, emails, and general correspondence
- Maintain both electronic and physical filing systems
HR & Payroll Support
- Assist with hiring processes (sending NDAs, employment agreements, onboarding documents)
- Liaise with external accountants for payroll and employee-related matters
- Maintain employee records and documentation
- Submit and manage employee-related filings via government portals (e.g. Ergani, TFA)
Accounting & Compliance Support
- Liaise with external accountants on a regular basis
- Assist with preparation and coordination of annual audits
- Ensure all yearly company requirements and filings are completed on time
- File receipts and maintain accurate records of expenses
- Issue invoices as required
- Assist with payments related to taxes and operational expenses
Corporate Administration
- Use the Cyprus Registrar of Companies portal to request and obtain updated company documents
- Maintain up-to-date corporate records and documentation
- Ensure proper organization of company files (both digital and physical)
General Support
- Handle ad hoc administrative and office-related tasks as required
- Support the team in ensuring smooth day-to-day operations
Requirements
- Fluent in Greek and English (spoken and written)
- Proven experience using Cyprus government portals (e.g. Ergani, TFA)
- Experience liaising with accountants and supporting audits
- Familiarity with the Cyprus Registrar of Companies portal
- Previous experience in an administrative, office manager, or similar role
- Strong organizational and multitasking skills
- Comfortable working with office tools (email, Excel, document management systems)
- Use of DocuSign
- Reliable, proactive, and detail-oriented
