Corporate Administrator (Legal Team)
Job Description
We are looking for a detail-oriented and highly organized Corporate Administrator to join our Legal Department. This role is focused on document control, corporate records management, contract administration, and supporting the day-to-day operations of the legal team.
The ideal candidate is a structured, process-driven professional who enjoys keeping documentation organized, maintaining accurate records, and ensuring information is always accessible and up to date.
Both full-time and part-time (4–5 hours per day) arrangements may be considered.
This is an office-based position in Paphos.
Key Responsibilities:
- Maintain, organize, archive, and monitor legal and corporate documentation (sales agreements and legal-related documents).
- Maintain corporate records, resolutions, shareholder decisions, dividend documentation and other statutory corporate documents.
- Manage and archive loan agreements, assignment agreements, debt forgiveness documents, and other legal records.
- Track legal services provided to clients and coordinate invoicing and payment follow-up with the Finance Department.
- Prepare standard agreements and legal documents using approved templates under the supervision of the legal team.
- Assist with document registration and filing in the Land Registry and other authorities.
- Support the Legal Department with the completion of standard forms, applications, and administrative documentation.
- Maintain accurate tracking systems and provide timely updates on document status, client matters, and original document locations.
Requirements:
- Previous experience in a similar administrative role within a law firm, audit firm, construction company, trading company, or other corporate environment.
- Strong document management, filing, and organizational skills.
- Excellent attention to detail and ability to work with a high volume of documentation.
- Ability to follow established processes and maintain accurate records.
- Good communication and coordination skills.
- Comfortable working with spreadsheets, databases, and document management systems.
- Working knowledge of Russian is required.
- Working knowledge of English and/or Greek.
