Crew Accountant
Job Description
Key Requirements
Excellent organizational skills and attention to detail
Excellent command of the English language both written and verbal.
Able to work well both independently and within a team.
Proactive, analytical, can multitask and work under pressure/within deadlines.
Very good computer skills (Microsoft Office, HR / Payroll Software).
Qualifications
- Academic / College diploma or equivalent work experience.
Relevant Training.
Main Responsibilities
-Payroll
Prepare, control, review and manage crew (security personnel) payroll on a monthly basis, using payroll / HR software.
Calculate, and include in the payroll, crew salaries, bonuses, allowances, refunds and deductions.
-Administration / Record Keeping
Issue and distribute the security personnel pay slips as requested.
Handle payroll administrative and transactional-related questions and issues.
Maintain communication with the crew (security personnel) and port agents regarding expenses, cash advances etc. in coordination with the OPS Operator responsible.
Maintain all relevant records diligently as required by company procedures and ISO, MLC and GDPR requirements.
-Operational Invoices
Review all Operational invoices and ensure the correct amounts and type of services were charged by the port agent, supplier or provider.
Update the relevant cost table, record / file ops invoices and forward the invoices for payment approval by the HOD.
In case of missing data / supporting documents etc. contact the suppliers, port agent or providers for clarifications.
-Training Invoices
Review all training invoices and record the amount to be deducted for each security guard in the Deductions excel.
-Budget Report
Prepare the budget report for each respective Line in cooperation with the Line Managers to ensure the cost for each operation is reflected accurately and within the Company's allocated budget.
-Shipmoney Cards
Ensure that all Shipmoney cards provided to our security personnel are activated and/or replaced where necessary.
-Cash Advance
- Update the cash advance table of assigned tasks for any cash advance request from contractors and relevant approval as per the procedures. In addition, provide the cash delivery note to the accounting department upon receipt and update the cash advance table accordingly.
-Additional duties
Any other assignment that is requested by the HOD or Department Supervisors.
