Document Controller
Job Description
Role:
The successful candidate will be undertaking the complete project document control and filling tasks in a software package environment and providing daily office document handling support to the Technical and Project Management Teams, reporting all updates to the Design Manager.
Responsibilities:
- Implement and administrate the projects electronic document control management system in a software program environment in compliance to the company policies and on an orderly and timely manner to secure efficiency, quality, safety and discretion.
- Perform the daily handling and electronic distribution of the project documents and correspondence between the project departments, consultants, subcontractors, supplier, clients etc.
- Electronic filing of the project documents, drawings and correspondence and maintenance of these electronic document folders and directories in the Documents Control software.
- Tracking and retrieval of the project documents, drawings and correspondence whenever necessary.
- Maintaining registries of receipts and issues of project documents, drawings and correspondence (Civil/Arch/MEP Drawings, Method Statements, Procedures, Materials Submittals, RFIs, NCRs, Contracts, Payment Certificates, Specifications, Project M. Reports, Minutes of meeting etc.).
- Ensuring a timely and safe Back-up of the project documents and data.
- Other responsibilities and authorities as defined by the company procedures or as instructed by the Project Director.
Necessary requirements:
- Degree in Office Administration (or similar) is preferred.
- Fluent in English and Greek both written and oral.
- Demonstrate exceptional human relations and communication skills.
- Excellent organizational and document handling skills
- Excellent Knowledge of Ms Office, showing confidence in working with word processing, spread sheets, power point and databases.
- Knowledge of a specialised document control program similar to Procore, M-Files, Aconex will be considered a great advantage.
- Ability to prioritize and manage several activities simultaneously.
- Act with professionalism, integrity, be pleasant and have a professional approach to office work environment.
