Office Administrator / Receptionist
Job Description
The Role:
We are looking for an Office Administrator who brings energy, initiative, and a positive attitude to our growing team in Nicosia. In this role, you will play a key part in keeping our office running smoothly, supporting both our employees and visitors, and contributing to a welcoming, efficient, and well-coordinated environment.
The main responsibilities of the position include:
- Greet visitors, clients, and staff in a friendly and professional manner
- Manage incoming calls, emails, and correspondence
- Schedule and coordinate meetings, appointments, and conference room bookings
- Handle courier and mail services (incoming and outgoing)
- Maintain and organize digital and physical files, documents, and office records
- Prepare reports, presentations, and documentation as required
- Coordinate facility maintenance and IT support requests
- Assist with travel arrangements, expense reporting and calendar management
- Order and manage office supplies and equipment inventory
- Ensure the office space is clean, safe, and well-maintained
- Liaise with building management, service providers, and vendors
- Monitor office budgets and assist with invoicing or petty cash handling
Main requirements:
- University degree in Office Administration or any other related field
- At least 2 years of experience in a similar role
- Excellent working knowledge of Microsoft Office tools
- Outstanding communication and interpersonal skills
- Responsible and professional in respect to appearance, behaviour and conduct
- Organised, methodological with a high attention to detail
- Ability to maintain confidentiality in all situations
