Office Administrator/Secretary
Job Description
Responsibilities:
· Enhancing effectiveness by providing information management support.
· Ensuring the smooth operation of the office on a daily basis
· Managing the daily/weekly/monthly agenda and schedule meetings, conference calls and appointments-
· Providing timely and efficient assistance to the staff of the office
· Filing and update contact information of employees, customers, suppliers and external partners
· Developing and maintain a filing system
· Preparing reports by collecting information
· Processing, typing, editing, and formatting memos, letters and other documents
· Maintaining the premises and ensure that all office equipment and facilities are in good working condition
· Coordinating the cleaning and maintenance supporting staff
· Undertaking general administrative duties as assigned
· Ability to take initiative and deliver results
· Reception duties, including greeting guests, offering drinks and answering telephones in a pleasant and positive
· manner
· Ordering and maintaining office supplies and equipment and arranging for any maintenance required
· To be the first and last point of contact for visitors and greet them accordingly
· Dealing with telephone and email enquiries
· Receiving and/or direct calls to the concerned person
· Preparing the conference rooms for upcoming meetings
· Other duties as assigned from time to time
Key Requirements:
· University degree/diploma in Business Administration, Secretarial Studies or a related field
· Fluent in speaking and writing in both Greek and English languages
· Computer literate (Word, Excel, Outlook, PowerPoint)
· Minimum of 3 years’ experience in a similar position is essential
· Ability to multitask and prioritize daily workload
· Excellent verbal and communication skills
· Well presented with friendly and polite personality
· Excellent organizational skills and attention to detail with great emphasis on multitasking.
