Payment Operations Officer (Fiat & Crypto)

About the Company
A Fintech startup registered Money Services Business (MSB) in Canada. Regulated by FINTRAC and the Bank of Canada (RPAA), we provide a seamless bridge between traditional fiat banking and the digital asset economy. We are looking for an experienced Payment Operations Officer to manage our dual-track payment ecosystem and help scale our operations team.
Role Summary
The Payment Operations Officer will be responsible for the end-to-end execution and monitoring of all financial movements within the platform. You will handle a high volume of transactions across various rails (SEPA, SWIFT, Faster Payments etc) while simultaneously managing crypto-asset liquidity, wallet movements, and exchange operations. As a senior member of the team, you will have the opportunity to build and lead the Payment Ops department as the company expands.
Key Responsibilities
1. Fiat Payment Operations:
- Execute and monitor daily end-to-end operational processing of customer and internal payments across supported rails and channels, ensuring accuracy, timeliness, and adherence to cut-offs.
- Monitor operational liquidity across relevant accounts to support settlement readiness. Perform daily reconciliation of bank statements against internal ledgers to ensure 100% accuracy.
- Prepare FX operations as required, to support the payment execution and settlement, including quote coordination, execution support, and appropriate record-keeping.
- Liaise with banking partners and payment processors to resolve pending transactions, investigation cases, or rejected payments.
2. Crypto & Digital Asset Operations:
- Manage daily crypto-asset operations, including deposits, withdrawals, and internal wallet transfers (Hot/Cold wallet management).
- Oversee crypto-to-fiat and fiat-to-crypto exchange activities, ensuring optimal liquidity and execution rates.
- Act as a trusted keyholder in sensitive Key Generation Ceremonies, ensuring secrecy.
- Monitor blockchain explorers to verify transaction statuses, troubleshoot "on-chain" movements.
- Define how we integrate with custody technology providers to ensure zero-trust security and design the Policy Rules (TAP) that govern asset movements.
- Proactively identify potential threats to our wallet infrastructure and design robust mitigations to prevent breaches.
- Coordinate with liquidity providers and OTC desks for rebalancing and hedging.
3. Compliance & Regulatory (FINTRAC/RPAA):
- Ensure all payment activities comply with Canadian MSB regulations and RPAA standards.
- Conduct first-level transaction monitoring to identify and report suspicious patterns to the AML/Compliance team.
- Prepare payment release, cancellation, and amendment of payments as required, ensuring proper documentation and audit-ready traceability.
- Assist in the preparation of operational data for regulatory reports and audits.
4. Leadership & Growth:
- Design and document Standard Operating Procedures (SOPs) for the operations department.
- Identify bottlenecks in the payment flow and work with the Product/Engineering team to automate manual processes.
- Mentor junior staff and lead the recruitment of additional operations officers.
Requirements & Qualifications
- Fintech Core: Minimum of 3 years specifically within a Fintech/PSP environment, managing multi-currency accounts and digital payments.
- Experience: Minimum of 5 years of professional experience within High-Risk Industries (e.g., Gaming, High-Volume E-commerce, Crypto-Exchanges, or Foreign Exchange).
- Hybrid Expertise: Proven experience handling both fiat rails (SWIFT/SEPA/EFT) and crypto-asset operations (Wallets/Exchanges).
- Regulatory Knowledge: Solid understanding of financial and AML&TF regulations. Familiarity with the Canadian regulations (RPAA and FINTRAC) is a significant advantage.
- Technical Skills: Experience with Utila or Fireblocks. Advanced Excel skills; experience with Back-Office Management Systems, Blockchain Explorers, Compliance and CRM tools.
- Language: Fluent in English (both written and spoken). Additional languages are a strong plus.
