Job Description

CareerFinders, on behalf of our client, an established hospitality and cosmetics supplier with offices in the heart of Nicosia, we are seeking to recruit a Procurement & Purchasing Supervisor to join their growing team. The successful candidate will play a key role in maintaining optimal inventory levels, managing supplier relationships, coordinating product replenishment, and supporting the commercial team to ensure product availability while optimizing costs and inventory investment. Our client is seeking applicants who are educated to degree level in Business Administration, Supply Chain Management, Logistics, Procurement or another relevant filed, who possess approximately 5 years of purchasing experience, preferably within cosmetics, beauty, FMCG, retail, or distribution. Supervisory or team leadership experience of at least 2 years is essential, and a strong understanding of inventory management principles is a must. Working hours are from 08:30 - 17:30 Monday to Thursday, and from 08:30 – 13:30 each Friday.

 

Key Duties/Responsibilities: 

  • Plan and execute purchasing activities based on sales forecasts, inventory levels, and business requirements.
  • Review and execute client orders.
  • Prepare and issue purchase orders and invoices to international and local suppliers and clients.
  • Monitor supplier lead times and ensure timely deliveries.
  • Follow up on outstanding orders and resolve supply delays.
  • Negotiate pricing, payment terms, and delivery schedules where applicable.
  • Evaluate supplier performance and maintain strong supplier relationships.
  • Monitor stock levels across all product categories.
  • Maintain optimal inventory while minimizing stock shortages and excess inventory.
  • Analyze inventory turnover and recommend replenishment strategies.
  • Coordinate new product launches and discontinuations with the Brand Managers.
  • Manage slow-moving and obsolete inventory.
  • Analyze historical sales trends and demand forecasts.
  • Work closely with Sales, Marketing, Brand Managers and Finance to develop purchasing plans.
  • Prepare purchasing reports and inventory analyses.
  • Monitor purchasing budgets and inventory investment.
  • Coordinate shipments with freight forwarders and logistics providers.
  • Ensure all purchasing documentation is accurate and complete.
  • Work closely with customs brokers and warehouse teams regarding incoming shipments.
  • Resolve discrepancies related to deliveries, invoices, and product quality.
  • Identify opportunities to improve procurement efficiency.
  • Ensure compliance with company purchasing policies.
  • Support ERP system improvements and purchasing automation initiatives.

 

Key Skills/Experience: 

  • Bachelor's degree in Business Administration, Supply Chain Management, Logistics, Procurement, or a related field.
  • Approximately 5 years of purchasing experience, preferably within cosmetics, beauty, FMCG, retail, or distribution.
  • At least 2 years of supervisory or team leadership experience.
  • Strong understanding of inventory management principles.
  • Experience working with ERP systems.
  • Advanced Microsoft Excel skills.
  • Excellent analytical and problem-solving abilities.
  • Strong negotiation and communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Excellent organizational and planning skills.
