Purchase & Logistics Officer
Job Description
Key Responsibilities:
- Obtain quotations from approved suppliers for third-party goods and services in accordance with operational requirements and company procedures.
Prepare and submit quotations, cost information, and supporting documentation to clients for review and approval.
Liaise with clients regarding quotation requests, clarifications, approvals, and procurement-related enquiries.
Upon receipt of client approval, coordinate the procurement, delivery, shipment, or service provision of approved third-party goods and services.
Monitor supplier deliveries and service completion and communicate progress, delays, discrepancies, or issues to clients and relevant stakeholders.
Prepare disbursements, service reports, delivery confirmations, invoices, and related procurement and logistics documentation.
Coordinate inward and outward shipments of client-approved goods and services, ensuring delivery requirements, schedules, and operational needs are met.
Liaise with suppliers, freight forwarders, customs agents, clients, vessels, and other third parties to arrange the collection, transportation, clearance, and delivery of shipments.
Prepare, review, and distribute shipment documentation, including delivery instructions, shipping documents, customs documentation, and supporting records, as required.
Monitor the progress of inward and outward shipments and provide timely updates, delivery confirmations, and status reports to clients and relevant stakeholders.
Identify and escalate shipment delays, documentation discrepancies, customs issues, delivery failures, or other logistics-related concerns to the appropriate parties.
Maintain accurate procurement, shipment, freight forwarding, and logistics records in accordance with company procedures and client requirements.
Maintain records, databases, filing systems, and supporting documentation accurately and in accordance with company procedures.
Maintain confidentiality of operational, commercial, supplier, customer, and client information.
Undertake additional duties consistent with the level and scope of the role.
Requirements:
- Qualification in Business Administration, Logistics, Supply Chain Management, Maritime Studies, or a related field, or equivalent relevant experience in procurement support, logistics administration, freight forwarding support, shipping administration, or similar operational environments preferred.
Working knowledge of procurement processes, freight forwarding activities, shipment documentation, and supplier coordination would be advantageous.
Ability to manage multiple administrative and operational activities within a fast-paced and time-sensitive environment.
Excellent time management.
Proficient in English (written and spoken); proficiency in Greek will be considered an advantage.
Clean criminal record.

Monday – Friday, 08.00 – 17.00 hrs.
