Role Overview
We are looking for a well-organised and reliable Office Secretary & Administrator to support the day-to-day operations of Urban Noise Control and CY Acoustics. This is a central coordination role — the person who keeps things running, follows up, and makes sure nothing falls through the cracks.
The ideal candidate is detail-oriented, trustworthy, and comfortable handling a variety of tasks across administration, office management, and team support. Prior experience in a busy office environment is essential; familiarity with the construction industry is a plus.
Key Responsibilities
1. Executive & Office Support
• Manage management calendars, appointments, and schedules.
• Monitor and follow up on emails; direct incoming calls for UNC and CY Acoustics.
• Arrange travel, accommodation, and logistics for management and staff.
• Coordinate office supplies, services, and supplier relationships.
• Maintain organised digital and physical filing systems.
2. Administrative & Financial Support
• Collect and organise supplier invoices, bills, and payment documentation.
• Prepare administrative summaries and documentation for CFO review.
• Assist with project records, tender documentation, and construction-related reports.
3. Fleet, HR & Insurance Coordination
• Maintain company vehicle records, service schedules, and registrations.
• Coordinate insurance renewals for vehicles and company policies.
• Track employee working hours and prepare payroll summaries.
• Maintain employee records and support general HR administration.
4. Events & Additional Duties
• Coordinate company participation in exhibitions, trade fairs, and corporate events.
• Support event logistics including travel, stand requirements, and supplier communication.
• Additional responsibilities will be discussed and agreed upon during the interview process.
What We're Looking For
• 3–5 years of experience in a secretary, office administrator, or similar role.
• Fluent in Greek and English — written and spoken.
• Strong follow-up habits and attention to detail.
• Trustworthy, discreet, and professional.
• Proficient in Microsoft Office (Outlook, Word, Excel).
• Comfortable with Apple devices and tools (Mac, iPhone, iCloud).
• Experience in or familiarity with the construction industry is an advantage.
