Role Overview

 

This is a senior, high-visibility administrative role with responsibility for optimising systems, enhancing operational workflows, and upholding exceptional standards of communication, compliance, and stakeholder care.
 

The Senior School Administrator will act as the primary administrative representative of the school, serving as a trusted point of contact for families, ensuring administrative continuity, improving efficiency across processes, and supporting strategic development within the department.
 

This role is best suited to a proactive, fast-learning, digitally strong individual who can work autonomously, exercise sound judgment, manage sensitive information with discretion, and represent the school professionally in all interactions.

 

 

 

Key Responsibilities

 

Admissions & Enrolment

  • Oversee the full admissions lifecycle, ensuring accuracy, consistency, and compliance with safeguarding and regulatory requirements.
  • Deliver highly personalised and professional communication to prospective families, including tours, consultations, and follow-up correspondence.
  • Continuously identify opportunities to enhance the admissions experience and improve conversion efficiency.

     

Administration, Compliance & System Optimisation

  • Maintain and further develop secure, efficient administrative and digital systems; propose and implement improvements.
  • Ensure administrative workflows are streamlined, documented, and aligned with best practices.
  • Serve as the first point of contact for parents, visitors, and external agencies with professionalism, tact, and discretion.
  • Manage daily office operations, facilities coordination, correspondence, record-keeping, and document control.
  • Support planning and execution of key events, meetings, and annual cycles of school operations.
  • Prepare high-quality reports, notices, and communication materials.
  • Uphold GDPR, confidentiality, safeguarding protocols, and regulatory compliance across all administrative activities.
  • Provide flexible weekend inbox monitoring for urgent matters.
     

 

Stakeholder Relations & Representation

  • Build and maintain strong, trust-based relationships with families and partners.
  • Ensure a calm, responsive, and solution-oriented customer experience.
  • Represent the school with maturity, discretion, and a consistent commitment to professional standards.
     

 

Person Specification

 

Essential

  • Fluent English (written and spoken); additional languages (Greek/Russian) are an advantage.
  • Permanent residency in Cyprus (non-EU candidates must hold valid work permits).
  • Exceptional digital proficiency (MS Office, Google Workspace Cloud system, past School Management Systems (SMS) experience preferred, AI literacy).
  • Demonstrated ability to work autonomously, prioritise effectively, and manage complex workflows.
  • Excellent organisational skills, deep attention to detail, and a proactive problem-solving mindset.
  • Strong interpersonal skills and the emotional intelligence to communicate with tact, discretion, and professionalism.
  • Ability to uphold high standards of accuracy, confidentiality, and responsiveness.
  • Previous experience in a school administration or a comparable high-responsibility administrative role.

     

Desirable / Plus Factors

  • Degree in Business Administration, Education Management, or related field.
  • Experience navigating the Cypriot educational system and liaising with local authorities.
  • Familiarity with safeguarding and child-protection procedures.
  • Exposure to finance, HR, or data management processes.
  • Proven experience in system optimisation, workflow improvement, or project coordination.
