Job Title: Clinical Coordinator

We are looking for a dedicated and detail-oriented Clinical Coordinator to help manage our key partner clinics with their orders and ensure seamless service delivery.

 

Role Overview:

As a Clinical Coordinator at Aphrodite Egg Bank, you will play a critical role in managing and maintaining relationships with key partner clinics, optimizing market performance, and overseeing the patient and donor experience from start to finish. You will act as the main point of contact for partner clinics, ensuring smooth operations and the resolution of any challenges that may arise in each market. This is a hands-on role requiring strong organizational skills, effective communication, and a compassionate approach to patient and donor care.

 

Key Responsibilities:

• Account Management & Client Relations:
  • Manage and maintain relationships with partner fertility clinics, ensuring they receive the highest level of service and support.
  • Monitor the performance of each clinic and market, identifying areas for improvement and growth opportunities.
  • Collaborate with clinic teams to resolve issues, troubleshoot challenges, and improve overall market performance.
• Market & Performance Monitoring:
  • Track and analyze key performance indicators (KPIs) across multiple markets, including order volume, patient satisfaction, and donor engagement.
  • Provide regular updates and performance reports to clinic partners and internal stakeholders.
  • Identify market trends, patient needs, and challenges to inform service improvements and sales strategies.
• Patient & Donor Experience Coordination:
  • Oversee the entire patient and donor journey, from initial inquiry to post-treatment follow-up, ensuring a seamless and compassionate experience.
  • Coordinate patient and donor care, including sample management, genetic testing logistics, and order fulfillment.
  • Provide ongoing communication with patients and donors to keep them informed and supported throughout their process.
• Order & Sample Management:
  • Manage and track donor and patient orders, ensuring accuracy and timely delivery of samples.
  • Coordinate with internal teams and external labs to manage genetic testing processes.
  • Resolve any logistical or operational challenges related to sample handling, delivery, and storage.
• Problem-Solving & Continuous Improvement:
  • Identify operational inefficiencies, market challenges, and patient issues, working collaboratively with internal teams to implement improvements.
  • Offer compassionate support to patients and clinics during difficult or sensitive situations, ensuring their concerns are addressed promptly and professionally.
• Collaboration & Cross-Functional Communication:
  • Work closely with sales, marketing, clinical, and operations teams to align on strategic goals, promotional activities, and market needs.
  • Communicate effectively with clinics, patients, and internal teams to ensure smooth and efficient operations across all stages of the egg bank process.

Qualifications:

• Education:
  • Bachelor’s degree in Business, Healthcare Administration, Life Sciences, or a related field (preferred).
  • Relevant certifications or experience in healthcare coordination, fertility, or sales (a plus).
• Experience:
  • Minimum of 2 years in a coordination support, client relations, or medical role (experience in the fertility or healthcare sector is highly preferred).
  • Proven track record of managing client accounts and relationships, preferably within a clinical or healthcare setting.
  • Experience in patient care coordination or donor services is a plus.
• Skills & Competencies:
  • Exceptional organizational and time management skills, with the ability to handle multiple tasks and deadlines simultaneously.
  • Strong problem-solving abilities and a proactive approach to identifying and addressing issues.
  • Excellent written and verbal communication skills.
  • Empathy and sensitivity to the needs of patients and donors in a fertility setting.
  • Familiarity with CRM systems, data analysis tools, and order/sample management software.
  • High attention to detail and ability to maintain data accuracy and confidentiality.
