Facility & Maintenance Administrator (Maternity Cover)

The Facility & Maintenance Administrator provides administrative and operational support to the Facility and Maintenance Department. This role is responsible for coordinating maintenance schedules, managing service requests, tracking work orders, overseeing vendor relations, and maintaining compliance and documentation for facility operations. The administrator acts as the communication hub between departments, contractors, and maintenance staff, ensuring all facility-related processes run efficiently and on time.
Role and Responsibilities
- Schedule preventive maintenance, repairs, inspections, and contractor visits
- Track, assign, and monitor work orders; ensure timely resolution of maintenance requests.
- Maintain and update maintenance logs, records, and asset management databases.
- Process purchase requests, invoices, and payments for maintenance supplies and services.
- Support the creation and enforcement of maintenance policies, procedures, and safety protocols.
- Coordinate with external vendors and contractors for specialized services and maintenance tasks.
- Monitor contractor performance and ensure compliance with agreed terms and safety regulations.
- Maintain vendor records including insurance documents, contracts, and service history.
- Serve as the first point of contact for facility-related inquiries and service issues.
- Communicate clearly with staff, maintenance teams, and management regarding work order status, project timelines, and facility updates.
- Prepare regular reports on facility performance, open maintenance items, and compliance status.
- Assist in planning facility upgrades, renovations, or large-scale maintenance projects.
- Monitor supplies inventory and reorder materials as needed.
- Support facility inspections and ensure compliance with health, safety, and building regulations.
- Maintain records of warranties, equipment manuals, drawings, permits, and inspection reports.
- Submission of all necessary applications for permits to the relevant authorities.
Qualifications and Education Requirements
- High school diploma required; associate’s or bachelor’s degree in Facilities Management, Business Administration, or related field preferred.
- 2–4 years of experience in facilities coordination, maintenance administration, office management, or a similar role.
Skills & Competencies
- Strong organizational and time management skills.
- Proficiency with maintenance software (e.g., Argo), spreadsheets, and office productivity tools (e.g., Microsoft Excel, Word, Outlook).
- Excellent communication and interpersonal skills.
- Attention to detail with the ability to track multiple tasks and deadlines.
- Basic understanding of building systems (HVAC, plumbing, electrical) is an asset.
- Ability to interpret and manage service contracts, work orders, and invoices.
- Comfortable interacting with all levels of staff and external service providers.
Reporting
Reporting to the Facility & Maintenance Manager.
