Executive Assistant to the Group General Manager
Job Description
Solaar Hospitality Ltd, operating Mercure Hotels in Larnaca, is looking for a professional, highly organized, and discreet Executive Assistant to the Group General Manager to support HR, administration, compliance, and daily operational coordination across multiple hotel properties.
Key Responsibilities:
• Act as the main point of coordination and follow-up for matters assigned by the Group General Manager.
• Provide executive, administrative, and operational support across multiple hotel units.
• Coordinate with accountants, lawyers, consultants, auditors, suppliers, and external stakeholders.
• Assist with licensing, government submissions, inspections, permits, and compliance-related matters with Cyprus authorities.
• Attend management meetings, prepare minutes, monitor action plans, and follow up on pending tasks.
• Support HR administration, including employee records, contracts, onboarding documentation, staff files, and internal procedures.
• Assist with payroll preparation by coordinating attendance, leave records, staff documentation, and employee updates.
• Monitor employee concerns, staff discipline matters, and workplace issues, escalating sensitive cases appropriately.
• Support the implementation of HR policies, staff procedures, and operational standards.
• Maintain organized filing of company contracts, licenses, certificates, permits, and legal documentation.
• Handle urgent administrative or operational matters calmly and professionally.
• Support the Group General Manager with special projects, internal improvements, and strategic initiatives.
• Represent the office of the Group General Manager professionally when dealing with employees, authorities, partners, suppliers, and guests.
Candidate Profile
• Previous experience as an Executive Assistant, Personal Assistant, HR Administrator, Office Administrator, or similar role.
• Experience in hospitality, hotel operations, HR administration, or executive support will be considered an advantage.
• Knowledge of Cyprus labour procedures, immigration processes, licensing procedures, or government submissions will be considered a strong advantage.
• Ability to manage confidential information with discretion and professionalism.
• Confident and professional communication with employees, management, authorities, and external partners.
• Calm, flexible, and professional under pressure.
• Excellent knowledge of Greek and English.
