Junior Administrative Assistant : Inland Waterways - Europe
Job Summary
The Junior Administrative Assistant provides essential clerical and administrative support within the river-cruise technical and operations environment. The role focuses on accurate invoice processing, data verification, and coordination with vessels and port authorities to ensure efficient and compliant financial and operational workflows.
Key Responsibilities
Clerical & Administrative Support
- Perform a range of general administrative and clerical duties
- Maintain organized records of invoices, reports, and related documentation
- Ensure accurate data entry and filing in internal systems
Invoice Processing & Verification
- Review and process end-of-voyage invoices on a daily basis
- Verify invoices against cruise and vessel operational reports
- Ensure all charges are accurate, justified, and aligned with contractual or operational data
- Identify discrepancies and escalate or resolve them in a timely manner
Procurement & Financial Administrative Assistance
- Support procurement-related administrative processes
- Assist in ensuring that services or items are properly documented and billed
- Contribute to cost control by verifying accuracy of supplier invoices
Communication & Coordination
- Communicate effectively with vessel crew, operators, and internal departments as required
- Liaise with port authorities and external stakeholders regarding billing or operational clarifications
- Respond to routine inquiries related to invoices and reporting
General Responsibilities
- Ensure timely processing of all invoices to meet internal deadlines
- Verify that all figures charged correspond accurately with vessel and cruise reporting data
- Maintain clear and professional communication
- Support continuous improvement of administrative and verification processes
- Additional administrative tasks as and when directed
Required Skills & Competencies
- Strong clerical and administrative skills with high attention to detail
- Basic understanding of procurement, invoicing, or financial processes
- Ability to work with data, reports, and numerical information accurately
- Good organizational and time-management skills
- Effective written and verbal communication skills
- Proficiency in Microsoft Office (especially Excel) and general office systems
Preferred Qualifications
- Previous experience in an administrative, procurement, or logistics role
- Familiarity with inland waterways, maritime, or port operations (advantageous)
- Experience working with invoices, financial documentation, or ERP systems
Work Environment
- Office-based role within technical and operations department
- Interaction with both internal teams and external maritime stakeholders across Europe as required
- May involve working with time-sensitive documentation aligned with vessel schedules
