Answers, screens, and diverts incoming phone calls. Receives and disseminates messages as necessary
Manages and distributes incoming and outgoing daily correspondence (e-mails, letters, faxes, packages, etc.) to the appropriate receivers
Prepares and forwards letters, emails, and faxes
Welcomes guests as soon as they arrive at the office and notifies the relevant department or colleague
Ensures that the reception area and the conference rooms are always tidy and presentable
Creates agendas and takes minutes as requested by the Management
Keeps updated records of office expenses and costs and handles the petty cash
Assists and supports all departments as instructed
Visits banks, governmental departments, business associates and clients as necessary
Undertakes the procedures for accepting and ‘opening’ a new client
Undertakes photocopying, printing
Develops and maintains a filing system
Completes forms, updates records and databases
Orders refreshments, snacks, and treats as instructed by the HR and the Partner
Monitors and orders office supplies including stationary, cleaning and hygiene supplies as agreed with the HR and Partner
Meets deadlines as agreed with colleagues and clients
Produce high quality deliverables to meet and exceed client expectations
Shares knowledge and important information with team members as necessary
Undertakes any other relevant task as requested by superiors
Operation of the electronic system of the Registrar of Companies for corporate services
Operation of the electronic system "Zygos"
What we are looking for:
Familiarity with office management procedures
Knowledge Microsoft Office Suite products
Computer literacy
Good personality with strong organizational skills and ability to work in a team.
Eager to constantly learn and adapt in a fast-paced environment
