We are an established and forward-thinking global maritime group of companies, looking for a Ships Operations Assistant, with the option to work either Full Time or Part Time. The position will be part of our Fleet Operations department based in Cyprus and will report to the Ships Operations Manager.
The Operations department is responsible for the day-to-day operation of the ships, ensuring that each voyage of every vessel is performed safely and efficiently and that all operations are carried out in an expedient, professional and commercially justified manner in compliance with the Company’s policy, charterers’ requirements and international regulations.
Key Responsibilities
Adequate training will be provided to the candidate selected to perform the below:
Daily updating of position list and data systems.
Seeking PDA’s from agents.
Submitting/freezing budgets.
Nominating agents at ports, approve PDA payments and follow up until FDA status is completed.
Preparing and sending voyage instructions to the vessel.
Writing the CP (if no broker involved).
Keeping close contact and coordinating with Charterers and all third parties involved with the ships.
Optimizing the voyage with regards to speed/arrival times and bunker consumption.
Seeking best prices/ports for bunkers, placing bunker order and notify VSL/agents.
Checking bunker orders and invoices before payment processing.
Preparing and sending the freight invoice to Charterers.
Preparing and sending the TC hires to Charterers.
Preparing and sending the laytime calculations and Final SOA to Charterers.
Preparing and sending Final Hire Statements to Charterers.
Following up with Charterers on any disputes/outstanding payments.
Comparing budget vs actual voyage result.
Ensuring all documents/necessary information is saved in the Cloud voyage files.
Preparing and sending requested reports.
Entering AMS entries for all vessels discharging in the United States.
Cooperating effectively with other departments both in Cyprus and abroad.
Undertaking any other relevant tasks as assigned by management.
Requirements
Newly graduate or studying towards a Bachelor’s degree in Shipping / Maritime Studies.
Excellent knowledge of English, both verbal and in writing.
Knowledge of Microsoft Office tools.
Communication and collaboration skills.
Ability to multitask.
Attention to detail.
Problem solving mindset and adaptability.
