Job Description

Following an internal move within our team, we are looking for a Back Office Officer to join Nova Securities and continue building their career within investment operations.

This position is particularly suited to an analytical and detail-oriented professional who wants to develop a strong understanding of investment operations and the infrastructure behind financial markets.

Main Responsibilities

• Perform comprehensive reconciliations between internal records, client accounts, bank accounts, custodians, and third parties, proactively investigating and resolving any discrepancies or mismatches.

• Conduct the settlement of transactions, including financial instruments and cash movements, in coordination with custodians and counterparties, and monitor settlement completion.

• Prepare and distribute accurate client reports, periodic safekeeping reports, and statements in a timely manner.

• Assist the compliance department with regulatory transaction reporting to CySEC, ensuring submissions are prepared within the prescribed regulatory deadlines, including reporting through applicable transaction reporting systems.

• Manage post-trade disclosure obligations, ensuring the accurate publication and disclosure of transaction information as required by applicable regulations.

• Maintain seamless interfaces with the Finance & Accounting department, performing daily reconciliations, system updates, and month-end processing.

• Maintain comprehensive records and documentation, including transaction history, executed orders, client communications, reports, withdrawal requests, and supporting documentation in accordance with strict record-keeping and data-retention standards.

• Process client asset withdrawal requests, executing rigorous verification, administering approval controls, communicating with clients, and coordinating the transfer of cash and financial instruments.

• Monitor client asset movements and safeguarding controls, ensuring that client assets are properly reconciled, recorded, and transferred only after completing the prescribed verification procedures.

• Assist in providing the ancillary service of Granting Credits or Loans in strict compliance with the relevant provisions in the Internal Operations Manual.

• Ensure all back-office operations, controls, and procedures are carried out in strict accordance with the guidelines and requirements outlined in the Internal Operations Manual.

What Knowledge and Skills You Bring

• A university degree in Finance, Economics, Business Administration, Accounting, Mathematics or another relevant discipline.
• Previous professional or internship experience in back office, settlements, custody, investment operations, banking, brokerage or financial services will be considered an advantage.
• Holding the CySEC Advanced Certificate will be considered an advantage.
• A good understanding of financial instruments and an interest in financial markets and investment services.
• Strong numerical skills and confidence working with financial and transactional data.
• Proficiency in Microsoft Excel. Experience with financial systems, reconciliation tools or data analysis will be considered an advantage.
• Fluency in English. Knowledge of additional languages will be considered an advantage.

• A high level of accuracy and attention to detail, particularly when handling financial transactions and client assets.
• Effective problem-solving skills and the ability to investigate reconciliation breaks, settlement issues and operational exceptions through to resolution.
• Sound judgement and the ability to recognise when an issue requires escalation.
• Strong organisational skills and the ability to manage multiple time-sensitive processes and deadlines.
• Clear and professional communication skills, with the confidence to liaise with custodians, counterparties and internal stakeholders.
• A proactive mindset and an interest in improving processes, controls and operational efficiency.

• Manage daily operational responsibilities independently while working collaboratively as part of the wider team.
