Commercial Coordinator – IP, Licensing & Operations (m/f/d)

About Osteoconnect IP:
Osteoconnect IP is an IP and software development company for healthcare apps, based in Larnaca, Cyprus. We coordinate international software developers and certification bodies, operate multilingual system tools, and grant country licences as well as service and marketing sublicences.
With our first product completed and multilingual, multi-app development in place, we are preparing for international expansion through licensing.
We are looking for a Commercial Coordinator to run day-to-day commercial operations and work directly with our Managing Directors.
The role is home office-based in Larnaca, Cyprus, for 30–40 hours per week. Candidates must live in or be willing to relocate to Larnaca. This is not a location-independent remote position.
Your responsibilities:
• Maintain the central contract register, including deadlines, renewals, termination dates, signatures and document filing.
• Prepare, coordinate and administer Country License Agreements and service and marketing sublicences, including licence fees, royalty statements and licensee reporting.
• Coordinate the trademark and IP rights portfolio with external patent and trademark attorneys.
• Manage budgeting, forecasting, monthly reporting and liquidity planning; coordinate licence billing, intercompany charges, accounting, tax advisers and auditors.
• Coordinate and liaise with international software developers, certification bodies, law firms and other service providers on scope, milestones, deliverables, fees and deadlines.
• Support the Managing Directors with decision papers, board and shareholder documents, minutes, follow-up and correspondence with authorities, banks and the Registrar.
• Coordinate GDPR documentation, processor agreements, international data transfers and access protection for confidential documents, and support information-security and ISO 27001 requirements.
Your profile:
• A degree in business administration, business law, finance or a comparable field.
• At least five years of experience in contract management, commercial operations, controlling, or as an executive assistant or chief of staff to management.
• Proven experience with licence, cooperation or service agreements in an international environment.
• Strong controlling skills, including budgeting, forecasting, monthly reporting and advanced Excel.
• Experience instructing and coordinating external advisers, including law firms, tax advisers and auditors.
• Fluent English with negotiation-level written and spoken communication.
• The right to work in Cyprus and willingness to be based in Larnaca.
• Strong commercial judgement and negotiation skills, discretion when handling confidential information, and a structured, independent approach to work.
Additional experience that would be an advantage:
• Experience with Cyprus holding, IP or fiduciary structures, the Registrar of Companies and local substance requirements.
• An understanding of IP law, transfer pricing or the Cyprus IP box.
• Practical GDPR experience, CIPP/E certification or ISO 27001 experience.
• A background in digital health, medical devices, software development projects or software licensing.
• German or Greek language skills.
