Scope and General Purpose:

The Corporate Administrator supports the day-to-day administration, maintenance and compliance of the Company's corporate entities. The role is responsible for supporting statutory filings, corporate record keeping, governance support, liaising with banks and relevant authorities, maintaining accurate corporate records, supporting intercompany administrative activities and assisting the Corporate Department with ongoing corporate and administrative requirements.

 

This role contributes to the effective operation of the Company’s corporate governance and entity management framework.

 

Role Scope & Responsibility

Works within established corporate, legal and administrative procedures, with guidance available for complex, sensitive or unfamiliar matters. The Corporate Administrator  is responsible for the accurate and timely completion of assigned corporate administration activities, statutory filings, record keeping and external administrative requirements, while ensuring confidentiality, accuracy and compliance with legal obligations, internal controls and established procedures and deadlines.

 

Specific Responsibilities:

Corporate Administration & Statutory Filings

  • Prepare and file statutory forms and notifications with the Cyprus Registrar of Companies (e.g. HE32, HE4, HE12, HE57 and other corporate changes).

  • Support filings for non-Cyprus entities (e.g. Companies House for UK entities) ensuring accuracy and alignment with jurisdictional specific requirements.

  • Maintain all statutory registers (e.g. Register of Directors, Members, Charges, UBO Register) and ensure they are accurate, complete and up to date.

  • Maintain minute books, resolution files and corporate records in accordance with Cap. 113 and internal governance standards.

Governance Support

  • Assist in preparing Board and shareholder minutes, written resolutions and supporting documentation

  • Maintain rolling / forward agendas, governance calendars and action-tracking logs.

  • Liaise with attendees and contributors to coordinate meetings, ensure timely submissions of meeting packs and materials and support efficient governance administration.

  • Assist in the maintenance and enhancement of the Company’s governance framework and formal governance structure.

  • Create and maintain legal entity structure changes, organisational charts and governance hierarchy documentation

  • Assisting the corporate department to meet its obligations, by providing general administrative and clerical support.

Banking & Regulatory Liaison

  • Liaise professionally with banks, financial institutions and regulatory authorities.

  • Coordinate and support annual bank reviews and maintain up-to-date corporate documentation with banks and financial institutions.

  • Prepare and submit corporate documentation required for account openings, KYC reviews and ongoing compliance.

Intercompany & Administrative Support

  • Handling intercompany invoicing tasks and ensure proper record keeping and reconciliation.

  • Manage external errands with government authorities (e.g. Land Registry Department, Customs Department, Registrar of Companies and other relevant bodies).

  • Maintain accurate and well-organized corporate files and databases, which might involve updating, managing, and maintaining filing system, organizing documents, and retrieving files.

  • Assist with document management, including scanning, photocopying, and organizing and archiving files (electronically and in hard copy).

  • Support  ad-hoc tasks and special projects as assigned by Management or the Head of Department. Perform any other relevant duties that may be assigned from time to time.

Qualifications & Experience

  • Diploma or degree in Business Administration, Secretarial Studies, Law or another relevant field.

  • Approximately 1–3+ years of relevant professional experience in corporate administration, a corporate services provider, law firm or a related professional environment.

  • Relevant practical experience with corporate administration and statutory documentation will be considered accordingly.

Required Knowledge

  • Basic understanding of Cyprus corporate administration processes and requirements.

  • Basic knowledge of corporate documentation and statutory filings.

  • Awareness of Cyprus Companies Law, Cap. 113 (or willingness to develop strong working knowledge)

  • Understanding of statutory filings, corporate documentation and record-keeping obligations.

  • Good knowledge of Microsoft Office, including Word, Excel, PowerPoint and Outlook.

  • Awareness of confidentiality and appropriate handling of sensitive corporate information.

  • High level of accuracy and attention to detail.

  • Strong personal task management abilities and ability to manage workload, effectively prioritize tasks and meet deadlines.

  • Ability to follow established procedures and instructions accurately.

  • Ability to handle confidential and sensitive information with discretion.

  • Professional proficiency in English and good working proficiency in Greek.

Considered an advantage:

  • Degree-level qualification in Law.
  • Diploma in Corporate Administration & Compliance (DipCAC)-EIMF.
  • CPD Courses in Corporate Administration & Good Standing.
  • Knowledge of Cyprus Companies Law and corporate governance practices.
  • Previous experience within a corporate services provider or law firm.
  • Experience dealing with the Cyprus Registrar of Companies and other government authorities.
  • Previous experience liaising with banks and financial institutions.
  • Proficiency in any additional language.

Effort & Role Demands

The role requires sustained attention to detail, accuracy and organizational focus when handling corporate documentation, statutory filings, records and administrative requirements. It involves managing multiple priorities and deadlines, coordinating with internal and external stakeholders and handling confidential or sensitive corporate information with discretion.

 

Working Conditions & Schedule

  • Full-time permanent position.

  • Monday–Thursday: 08:30–17:15, including a 45-minute lunch break.

  • Friday: 08:30–17:00, including a 30-minute lunch break.

  • The role is primarily office-based.

  • The position may require occasional external visits to banks, government departments, regulatory authorities or other relevant external bodies.

  • The role involves regular computer use and administrative/document-management activities.

Compensation

The salary range for the position will be established based on the Company's job evaluation and compensation framework, taking into consideration objective, gender-neutral criteria related to the value and requirements of the role.

 

Once the salary range is established, initial salary positioning within the range will be determined using objective, gender-neutral criteria, including relevant professional experience, qualifications, demonstrated knowledge and skills, and the level of independence and responsibility demonstrated against the requirements of the role.

 

Candidates will be assessed based on objective criteria including qualifications, experience, technical skills, organisational ability and communication competence.
