Office Manager
Job Description
Main duties and responsibilities of the role:
· Handle the office administration and internal /external communication of the reception
· Welcome visitors and direct them appropriately
· Handling of incoming/outgoing post, messenger, and courier shipments
· Maintain a clean and organized work environment
· Manage office supplies and equipment
· Communicate effectively with various vendors, service providers and landlord as needed
· Safekeeping of confidential documents and maintaining an efficient filing system (for suppliers, employees etc.)
· Assist the finance team with the onboarding of new employees
· Arranging meetings, booking of conference room and calendar invitations.
· Coordinate Travel arrangements, including visas and accommodation for employees and guests.
· Assist with event organization
· Administer and maintain annual leave software
· Assist senior management on ad-hoc tasks
· Preparing employment contracts and handling onboarding procedures
· Managing employee medical insurance (registration and deregistration)
· Ensuring all necessary steps are completed for a smooth first working day
Key Attributes:
· Certificate in secretarial studies will be considered an advantage
· Computer literacy with good knowledge of Microsoft Office applications
· Fluent in Greek and English Languages
· Strong communication and organizational skills
· Ability to multitask and prioritize tasks
· Well-presented, trustworthy, and punctual
