The Company:
A family office in Limassol is looking for a Private Executive Assistant.
Role:
This role requires someone highly organised, proactive, and able to thrive in a fast-moving environment. You’ll be working closely with two individuals, ensuring both business and personal / family-related matters run smoothly. The ideal candidate will be flexible, organised, an excellent communicator, comfortable liaising with service providers (lawyers, accountants, builders) to ensure a results driven focus.
The role requires travel 2-3 times a month (each trip expected to last 1-4 days) across the UK / Spain / Greece / Cyprus.
Duties:
· Diary & Schedule Management: Manage a complex and busy schedule.
· Travel Arrangements: Organise domestic and international travel, including flights, hotels, visas, and itineraries.
· Event & Hospitality Planning: Book restaurants, theatre shows, and social events as required.
· General Administration: Handle household administration, including managing mail, email, bills, insurance renewals, and invoices.
· Staff Communication: Maintain excellent communication with the housekeeper, chef and driver to ensure seamless daily operations.
· Medical & Wellness Management: Book medical appointments and manage healthcare schedules.
· Gift & Lifestyle Management: Source and purchase gifts for birthdays and special occasions.
· Membership & Subscription Management: Maintain and manage personal and household memberships and subscriptions.
· Household & Property Management: Work closely with the builders, rental agencies, furniture providers etc to optimise rental of investment properties and maintenance of personal properties.
· Personal Shopping: Handle shopping needs for the individuals and household.
· Financial Reconciliation: Checking flows / transactions on multitude of bank accounts / credit cards vs various bills & invoices.
· Payments: Ensuring payments (across different properties & business vendors) occur on time and are recorded.
Key Requirements:
· Proven experience in a similar Private PA/EA role supporting a busy family office.
· A discreet, trustworthy, and professional individual who maintains confidentiality at all times.
· Excellent organisational and multitasking skills with a keen eye for detail.
· Highly proficient with modern technology with strong skills in Microsoft Office / Google Sheets & Docs and other essential administrative software.
· Strong communication skills, both written and verbal.
· Ability to work independently and anticipate needs without constant supervision.
· High level of flexibility and adaptability.
· A team player who can collaborate with household staff and external service providers.
· Adaptable and quick-thinking, capable of handling last-minute changes.
· Always responsive and available to handle urgent requests.
· Right to travel in the EU region (specifically Spain / Greece / Cyprus) and valid passport. Travel is expected 2-3 times a month, with each trip expected to last 1-4 days.
· Up to date Criminal Record.
· Knowledge of top restaurants, venues, and international travel requirements is a plus.
· Confident drivers are a plus.
Working Hours:
Monday - Friday from 8.30am - 5.30pm with flexibility.
Remuneration & Benefits
· Monthly salary depending on qualifications and/or experience.
· 13th Salary
