Job Description
Administrative Duties
- Manage and maintain executive calendars and appointments
- Answer phone calls, emails, and other correspondence
- Prepare letters, reports, presentations, and meeting minutes
- Organize and maintain filing systems (physical and digital)
- Order office supplies and manage office inventory
- Schedule and coordinate meetings, conferences, and events
Travel & Booking Responsibilities
- Book airline tickets, train tickets, and other transportation
- Arrange hotel reservations and travel itineraries
- Process visa applications and travel documentation (if required)
- Coordinate airport transfers and local transportation
- Track travel expenses and prepare expense reports
Communication & Coordination
- Act as a liaison between management and staff
- Handle confidential information professionally
- Support HR or finance tasks when required
- Ensure smooth day-to-day office operations
Required Skills & Qualifications
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
- Previous experience as a secretary or administrative assistant is an advantage but not mandatory
- Knowledge in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Excellent written and verbal communication skills
- Strong organizational and time-management skills
- Ability to multitask and work under pressure
- Attention to detail and problem-solving skills
- Speak English and Greek
